Position Overview
We are looking for a friendly, dependable, and highly organized Dental Front Office Administrator to join our team.
This person will often be the first and last team member our patients interact with, making this an important role in creating a welcoming experience and helping each day run smoothly. The ideal candidate communicates confidently, pays close attention to details, and can balance patient service with the administrative and financial responsibilities of a busy dental office.
Previous dental or healthcare front office experience is strongly preferred.
What You’ll Do:
Patient Service and Scheduling
- Welcome patients and assist with the check-in and check-out process
- Ensure patient information, forms, and records are current and complete before visits
- Answer incoming calls using our Five-Star patient-service standards
- Schedule reservations for new and existing patients
- Confirm and prepare reservations for upcoming care
- Help maintain a productive schedule by contacting patients who are due for hygiene care, requesting earlier care-time, or waiting for an opening
- Clearly communicate office policies, financial expectations, and next steps
- Provide a warm, professional, and helpful experience during every patient interaction
Insurance and Financial Responsibilities
- Verify insurance benefits and update insurance information as needed
- Submit insurance claims and supporting documentation
- Collect patient balances and estimated portions at the appropriate time
- Assist patients with questions regarding estimates, insurance benefits, and payment options
- Complete daily deposits and maintain the change drawer
- Run and review end-of-day, end-of-month, and other assigned reports
- Help patients enroll in the practice’s in-house membership program
Administrative and Clinical Support
- Monitor office email and voicemail and respond promptly
- Prepare route sheets and other materials needed for the clinical day
- Scan and organize patient records, lab slips, correspondence, and other documents
- Process record-release requests and send requested X-rays or records securely
- Maintain accurate new-patient, referral, and outreach records
- Send post-visit review requests and assist with patient follow-up
- Coordinate dental lab cases, including tracking deliveries and arranging pickups
- Support prescription-related communication as directed by the dentist and permitted by office protocol
Daily Office Operations
- Expected to arrive by 7:30 AM each scheduled workday to assist with opening procedures and ensure the office is fully prepared for the day.
- Follow established opening and closing procedures
- Participate in the morning huddle to review the day’s schedule, patient needs, and potential challenges
- Communicate closely with the clinical team to support an efficient patient flow
- Help identify and resolve scheduling, administrative, or patient-service concerns
- Maintain the confidentiality of patient and practice information
- Follow all office policies, HIPAA requirements, and patient-service standards
What We’re Looking For
- At least one year of receptionist, administrative, or customer-service experience
- Previous experience in a dental or healthcare office is strongly preferred
- Familiarity with dental terminology, procedures, insurance, and ADA codes is a plus
- Experience with dental practice-management software is preferred
- Strong verbal and written communication skills
- Excellent organization and attention to detail
- Confidence discussing financial information with patients professionally and respectfully
- Ability to manage multiple responsibilities while remaining calm and welcoming
- Dependability, professionalism, and a team-focused attitude
- A genuine interest in helping patients feel comfortable and well cared for
