Hammari Bookkeeping & Tax and Hammari Law Office are seeking a dependable, organized Bookkeeping & Administrative Assistant for our shared professional office in Donnelly, Idaho.
This is a year-round position expected to begin at approximately 32 hours per week, with the possibility of a full-time, 40-hour-per-week position for the right candidate.
The position combines front-office and administrative responsibilities with the opportunity to perform and learn bookkeeping, payroll, tax-support, and legal-assistant work.
$19–$25 per hour, depending on relevant experience and the ability to perform bookkeeping, payroll, tax-support, or other skilled office work.
Responsibilities:
- Answer incoming telephone calls and direct or forward calls appropriately
- Greet clients and visitors and maintain a professional, welcoming office
- Take accurate and complete messages
- Communicate with clients by telephone and email
- Schedule appointments and assist with client follow-up
- Prepare, print, scan, copy, and send correspondence and documents
- Prepare outgoing mail, including certified and registered mail
- Organize and maintain paper and electronic files
- Scan, file, archive, and securely shred confidential documents
- Track incoming documents and help obtain missing information from clients
- Maintain office supplies and assist with general administrative tasks
- Provide support to both the bookkeeping and tax office and the law office
Bookkeeping and Tax Work:
Depending on the applicant’s experience and training, responsibilities may also include:
- Entering and categorizing financial transactions
- Performing bank and credit-card reconciliations
- Assisting with payroll processing and payroll reports
- Organizing client bookkeeping records
- Communicating with clients regarding missing information
- Assisting with the preparation and organization of tax documents
- Supporting tax-season workflows
- Performing other bookkeeping and accounting-support tasks under supervision
Applicants with QuickBooks, bookkeeping, payroll, accounting, banking, or tax-office experience are especially encouraged to apply.
Legal-Office Opportunities:
The employee may also receive training and take on legal-assistant responsibilities, including:
- Assisting with new-client intake
- Preparing routine correspondence and forms
- Organizing estate-planning, probate, and other legal files
- Preparing documents for attorney review and client signing
- Communicating with courts, recording offices, and other organizations
- Assisting with document recording, certified mailing, and deadline tracking
Prior legal experience is not required.
Qualifications:
The successful applicant should:
- Be dependable, punctual, organized, and attentive to detail
- Communicate professionally in person, by telephone, and in writing
- Be comfortable using email, Microsoft Word, scanners, printers, and basic office technology
- Be able to learn new computer programs and office systems
- Follow instructions and complete tasks without constant supervision
- Exercise good judgment and maintain strict confidentiality
- Be comfortable handling multiple tasks and changing priorities
- Be willing to ask questions and learn new skills
- Have a high school diploma or equivalent
Relevant office, bookkeeping, payroll, accounting, tax, banking, legal, medical, or other confidential professional experience is preferred but not required. We will consider a highly organized and motivated applicant with strong computer skills and the ability to learn.
Schedule:
- Approximately 32 hours per week
- Full-time employment may be available for the right candidate
- Additional hours may be available during tax season and other busy periods
