Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Answer multi-line phone systems efficiently, directing calls accurately and courteously
- Manage appointment scheduling and calendar coordination using productivity software and Google Workspace tools
- Handle data entry tasks with precision, maintaining accurate records in spreadsheets and databases
- Support office management duties such as filing, organizing documents, and maintaining office supplies
- Assist with clerical tasks including proofreading documents, word processing, and preparing correspondence
- Provide customer support by addressing inquiries professionally and ensuring excellent client communication
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong computer literacy with experience in data entry, filing, and document management
- Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional phone etiquette and communication skills across multi-line phone systems
- Bilingual abilities are a plus for serving diverse client needs
- Previous office or administrative experience is preferred, including front desk or medical/dental receptionist roles
- Knowledge of QuickBooks or bookkeeping experience is advantageous for handling basic financial tasks
- Ability to manage time efficiently while prioritizing tasks to enhance productivity
- Technical proficiency in office management tools, spreadsheets, and calendar management software
