Seasonal Deputy Event Coordinator
Description
Scottsdale-based Rose+Allyn Public Relations, a unique and renowned public relations, crisis communications, public affairs, political consulting, and event production firm. Rose + Allyn Public Relations is seeking an energetic, highly organized Deputy Event Coordinator to assist with the planning, coordination, promotion, and execution of the Scottsdale Polo Championships, the most-attended polo event in the U.S., and other major events produced by the firm.
This is a hands-on position for someone who thrives in a fast-paced environment, enjoys working on large-scale events, and is comfortable managing many moving pieces at once. The Deputy Event Coordinator will work closely with the Event Director on any needs leading up to the day of the event. This person needs to be resourceful, detail-oriented, professional, and willing to jump in wherever needed to ensure every event is executed successfully.
Responsibilities:
- Assist the Event Director with the planning and production of the Scottsdale Polo Championships and other Rose + Allyn events.
- Assist with sponsor fulfillment, including signage, hospitality, tickets, activations, branding, and other contractual benefits.
- Support ticketing, guest lists, VIP experiences, reserved seating, tables, credentials, and event admissions.
- Assist with event layouts, signage placement, vendor locations, hospitality areas, sponsor activations, and guest experiences.
- Communicate regularly with participating organizations and vendors to collect required information and ensure deadlines are met.
- Help coordinate event staff, volunteers, contractors, and day-of assignments.
- Assist with event marketing and promotional needs, including coordination of materials, website information, email communications, social media content, and partner promotions.
- Participate in event setup, production, event-day operations, troubleshooting, and breakdown.
- Serve as an on-site point of contact for assigned vendors, sponsors, partners, and event areas.
- Assist with post-event follow-up, vendor reconciliation, sponsor fulfillment reports, event recaps, and planning for future events.
- Take on additional responsibilities as needed in a dynamic event-production and public relations environment.
Requirements
The applicant who fills this position should be prepared to work in a fast-paced team. It's essential that applicants for this position understand the importance of attending to even the smallest details, and be able to communicate effectively. Our ideal candidate would possess the following:

· Proven work history in office or similar environment
· Ability to work independently or as a team member, multi-task/manage multiple projects simultaneously and achieve results on deadlines
· Positive attitude, resourceful nature, ability to change course easily, and excellent problem-solving capabilities
· Computer savvy with working knowledge of Microsoft Word, Excel, Outlook. Bonus if experienced with Canva, Cision and / or iContact
· Commitment to customer service, confidentiality and integrity of information
Salary: DOE (depends on experience)
