Up Close Inspections is a full-service property inspection company serving the metro Cleveland, Ohio area. We perform residential and commercial inspections, radon testing, mold inspections, sewer scopes, and more. We're a growing, fast-moving team, and we're looking for a sharp, dependable office assistant to be the voice of our company and keep our office running smoothly.
Position Summary
We're hiring a full-time Remote Office Assistant to become a key member of our growing team. This is a long-term opportunity for someone who excels at customer service, enjoys talking with people, and has hands-on experience using GoHighLevel (GHL).
You will be the first point of contact for our clients — answering incoming calls, scheduling home inspections, following up with leads, and ensuring every customer receives an exceptional experience from the first phone call to the completed inspection. You will also take ownership of our GoHighLevel account day to day — sending and managing email communication through GHL and building the workflows and automations that keep our follow-up running.
This is much more than an administrative role. We're looking for someone organized, proactive, and confident on the phone who will play an important part in helping our company grow.
Responsibilities
- Answer inbound calls and assist clients professionally
- Schedule home inspections and manage our calendar (Spectora — we'll train you)
- Follow up with new leads and existing clients via phone, email, and SMS
- Build rapport and confidently convert inquiries into appointments
- Make warm outbound calls to leads, past clients, and real estate agents
- Manage our GoHighLevel (GHL) account, including contacts and opportunities
- Send, manage, and follow up on email communication and campaigns through GHL
- Create and maintain workflows, automations, Smart Tags, and pipelines in GHL
- Respond to emails, text messages, and customer inquiries
- Manage the company email inbox and general office/admin tasks
- Keep our CRM organized and up to date, and files organized in Google Drive
- Provide outstanding customer service every day
Qualifications
Required:
- Fluent English with excellent verbal and written communication skills
- Strong phone etiquette and customer service skills
- Sales or appointment-setting experience
- Hands-on experience with GoHighLevel (GHL), including workflows, automations, Smart Tags, pipelines, and CRM management
- Highly organized with strong attention to detail and the ability to follow SOPs
- Reliable high-speed internet, a quality headset, and a quiet home workspace
- Available to work full-time during Eastern Time business hours
Preferred:
- Experience in the home inspection, real estate, or home services industry
- Previous experience in a client care or inside sales role
- Experience with Spectora or other inspection/field-service software
