Reports To: Chief Executive Officer (CEO)
Camillus Health Concern is seeking a highly organized and proactive Executive Assistant to provide high-level administrative and executive support to the CEO. This position also serves as a key liaison with the Board of Directors and internal stakeholders, ensuring seamless communication and efficient operations. The ideal candidate is detail-oriented, discreet, and committed to supporting the organization’s mission.

Provide executive and administrative support to the CEO

Coordinate monthly Board of Directors and Leadership Team meetings, including logistics, presentations, refreshments, and IT support

Serve as a liaison between the CEO and staff, board members, partners, and stakeholders

Maintain organizational records, contracts, files, and marketing materials

Manage conference room scheduling and internal controls

Support facilities team with access key tracking and distribution

Assist with development activities, including Give Miami Day initiatives

Prepare and organize donation acknowledgment letters

Process expense reports and purchase orders

Draft and edit correspondence, memoranda, and content for website and social media

Prepare signage and communications related to clinic closures

Manage CEO’s calendar, appointments, and scheduling

Handle daily office duties, including mail and courier services

Screen and coordinate meeting requests for the CEO

Attend meetings as needed and track follow-up on action items

Order office and kitchen supplies

Arrange travel logistics for the CEO and Leadership Team

Support special projects and additional tasks as assigned by the CEO

Maintain strict confidentiality of all organizational and personnel information

Associate degree required; Bachelor’s degree preferred

Proficiency in Microsoft Office Suite and social media platforms

Strong attention to detail and organizational skills

Excellent written and verbal communication skills

Ability to work independently with minimal supervision

Demonstrated professionalism, discretion, and confidentiality

Bilingual (English/Spanish)

2–3 years of administrative experience

Experience with copywriting, social media, or website content management

Prior experience in healthcare administration

Sensitivity to the needs of homeless and underserved populations

Ability to work collaboratively in a team environment
Hours: Monday – Friday, 8:00 AM – 5:00 PM
