Job Title: Patient Access Supervisor/Medical Staff Coordinator
Primary Function and Relationship to Total Organization
The Patient Access Supervisor is responsible for the supervision of Patient Access Representatives and for training ALL registration within the facility on the registration process on entering personal and demographic data on all patients in an accurate and complete manner. Ensure that all shifts are covered. Creates the patient access M-F schedule along with weekend shifts/holiday rotations. This position may be combined with any other office function.
The Medical Staff Coordinator is responsible for assigning accurate credentials to staff in a medical position in the hospital and clinical areas. Must be knowledgeable of the procedures and policies for assigning the credentials. The coordinator is responsible for keeping records up to date, such as staff education and licenses, to make sure the staff remains qualified for their position and work closely with the revenue cycle manager, as well as the credentialing and enrollment vendor to ensure all paperwork is obtained in an orderly and timely manner.

Duties and Responsibilities of Patient Access:

Accurately and completely collects patient personal and demographic data to begin the process of creating a medical record.

Verifies data gathered on previous patients for updating.

Prints patient’s registration documents and armbands as needed

Participates in other functions to include educational activities, quality improvement projects.

Prioritizes, plans and organized the functions of the business office in order to use time and resources effectively and efficiently.

Works Patient WQs as see fit by the patient access lead & revenue cycle director

Performs functions other than described above due to extenuating circumstances

Receives patients’ payments and receipts ALL payments

Makes self-pay follow up phone calls
Duties and Responsibilities of Medical Staff Coordinator:

Maintain appointment/reappointment files for Medical Staff.

Send Monthly agenda and prior months minutes one week before Med Staff Meeting and work with dietary for the meal provided during the meeting.

Send appointments/reappointments to the CEO and Board of Trustees, the send letters to providers once approved.

Monthly access files check for expirations of licenses, DEA, CSA, malpractices, etc.

Process credentialing application, gather supporting documents, ensure signatures are captured and coordinate with HPSWI, along with 855.

Responsible for Medical Staff Policies and Procedures.

Annually maintain National Practitioner Data Bank registration.

TRMC yearly credentialing review.

Prior patient access experience preferred. Good communication skills. Knowledge of basic office machines. Keyboard proficiency required – computer, with EPIC experience desired. Detail oriented.
