Duties
- Assist with patient intake by collecting medical histories, vital signs, and updating electronic health records (EHR) accurately.
- Prepare examination rooms, sterilize equipment, and ensure all supplies are stocked and ready for procedures.
- Perform clinical tasks such as phlebotomy, medication administration, and basic life support (BLS) when needed.
- Support providers during examinations and procedures.
- Manage medical documentation meticulously, including ICD coding, medical records management, and ensuring compliance with privacy regulations.
- Operate electronic health record (EHR) systems efficiently for scheduling, billing support, and maintaining comprehensive patient charts.
- Assist with laboratory procedures such as specimen collection
- Assist with retail product sales
- Promote monthly specials and seasonal promotions
- Encourage patient reviews and referrals
- Support patient loyalty initiatives through RepeatMD
- Manage daily provider schedules
- Verify intake forms and consent documents
- Maintain reception and waiting areas
- Monitor inventory of retail products and office supplies
- Assist with opening and closing procedures
- Support day-to-day administrative operations
- Support patient retention through exceptional customer service
Skills
- Strong knowledge of medical terminology, anatomy, physiology, pharmacology, and ICD coding standards.
- Proven experience in medical office management and administrative support within busy clinical settings.
- Skilled in patient service techniques including intake procedures, vital signs measurement, and patient education.
- Familiarity with EMR/EHR systems and electronic health records management to ensure accurate documentation.
- Hands-on experience with phlebotomy, medication administration, and basic life support certification (BLS).
- Ability to adapt quickly to new technologies and maintain professionalism under pressure in fast-paced settings like urgent care or hospital medicine.
Preferred Qualifications
- Experience in a medical spa, dermatology, plastic surgery, wellness clinic, or aesthetics practice
- Experience with EMR or practice management software
- Knowledge of RepeatMD or similar patient loyalty platforms
- Experience creating social media content using Canva, Instagram, Facebook, or TikTok
- Exceptional Customer Service experience and comfortable providing education to patients on available services, memberships, and promotions
