About the Role
We are seeking a detail-oriented and proactive Import Coordinator to manage our end-to-end ocean shipping logistics and customs compliance — from booking shipments with carriers through customs clearance, documentation, and final delivery and receipt at our warehouse. This role is central to keeping our supply chain moving on time and on budget, requiring close collaboration with factories, production, sales, finance, carriers, customs brokers, freight forwarders, and warehouse teams.
Key Responsibilities
- Coordinate with factory and production teams to book ocean freight shipments with carriers
- Track and compare carrier rates; recommend the best shipping options based on price, service level, and timing
- Review and approve carrier invoices for finance payment, validating pricing and terms against existing agreements
- Partner with production, sales, and carrier contacts to communicate and track shipment timing and arrival dates
- Continuously monitor all shipments in transit until fully received
- Verify import documentation provided by shippers, including commercial invoices, packing lists, and bills of lading
- Ensure goods are accurately classified, valued, and taxed in accordance with international trade laws
- Estimate and process payment of duties, tariffs, and clearance charges
- Liaise with freight forwarders and customs brokers to track shipments, coordinate freight and customs release, and resolve discrepancies
- Arrange container pickup at the port of arrival
- Coordinate with the warehouse team on arrival scheduling and receiving
- Accurately log and maintain shipment records in the internal system
- Serve as a communication point across teams, providing shipment updates as needed
Qualifications
- Experience in shipping, logistics, or supply chain coordination, preferably with ocean freight
- Strong understanding of carrier rate structures, shipping terms, and freight agreements
- Familiarity with import documentation, customs compliance, tariff classification, and duty calculation
- Excellent organizational skills with the ability to manage multiple shipments simultaneously
- Strong written and verbal communication skills for cross-functional collaboration
- Comfortable working with internal tracking/ERP systems and invoice approval processes
- Detail-oriented with a proactive approach to problem-solving and follow-up
- Mandarin speaking preferred, but not required

Pay: $50,000.00 - $60,000.00 per year
