Position Summary:
The Project Coordinator supports the Project Management Team by handling administrative tasks, facilitating communication, and ensuring projects stay on track. They assist with planning, scheduling, resource allocation, and monitor project progress.

Supervision Received:
The Project Coordinator reports to the Assistant Project Manager. Still, they are in a self-motivated role with the latitude to make business decisions within established parameters that align with company strategy.

Project Planning & Scheduling
· Create action plans to meet objectives, budgets, and schedules while assisting with the administrative aspects of coordinating construction activities.
· Coordinate project schedule timelines, ensuring projects are not over-scheduled and that labor and crew availability aligns with the General Contractor's timeline.
· Coordinate job site requirements and verify field conditions before the project start date (e.g., power requirements, material storage, and verifying project square footage against takeoff).
Project Monitoring & Communication
· Monitor project progress, identify plan deviations, and proactively address any challenges or obstacles.
· Inform leadership of project status on an ongoing basis.
· Assist with crew and subcontractor compliance, ensuring that daily reports are submitted and received on time.
Contracts & Documentation
· Draft, review, and maintain project documentation, including contracts, subcontracts, change orders, RFIs, and notices, ensuring all documents are compliant and up to date.
· Assist with submittal follow-ups and track their progress against contracted timelines.
Procurement & Materials Management
· Assist with the procurement of equipment, parts, supplies, and materials, including preparing and submitting purchase orders.
· Track project materials and follow up with field employees for inventory lists to determine usage and future needs.
· Verify material shipments and returns, including ensuring staged material is ready three weeks before the ship date.
Financial Tracking & Billing
· Prepare cost tracking and progress reports, and assist with capturing any added costs during the change order approval process.
· Follow up on outstanding billing, confirm receipt of necessary documents, and update invoice pricing (e.g., between Doyle and Concord).
Project Closeout
· Coordinate closeout activities, including the completion of punch lists, issuance of warranties, and final documentation.
· Ensure all required closeout documents are submitted promptly so billing is not delayed, and follow up with project satisfaction surveys.
· The effectiveness in safeguarding information in reports, written materials, or other confidential material/information/conversations. *
· Follows applicable safety, health, and environmental rules and guidelines. Uses appropriate protective equipment.

Minimum Qualifications (Education, Experience, & Skills):
· High School Diploma or equivalent. An associate degree from a two-year accredited college or A bachelor’s degree from a four-year accredited college or university in business, engineering, or construction management is preferred.
· Two years of experience in project management, preferably in the construction industry.
· Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
· Excellent communication and interpersonal skills to effectively collaborate with clients, team members, and stakeholders.
· Ability to work independently and take initiative while being a team player.
· Strong problem-solving skills and the ability to think critically in fast-paced environments.
Physical / Mental Demands:
This position involves handling detailed and complex concepts and problems, balancing multiple tasks simultaneously, meeting required deadlines, and making rapid decisions.
Requires sitting, standing, walking, carrying, reaching, bending, seeing, speaking, and hearing. You must be able to distinguish between colors.
Working Conditions/Environment:
Work is typically performed in an office but occasionally requires visits to the warehouse. The warehouse is not cooled or heated. Requires ability and willingness to work long hours at times and have flexibility towards work schedule (including some occasional weekend hours) to meet the demands of the position.
Pay: $22.00 - $23.00 per hour
