The HVAC Project Manager is responsible for overseeing projects from the time they are sold until final completion. This role ensures projects are completed safely, on schedule, within budget, and to the company’s quality standards while providing excellent customer service. The Project Manager serves as the primary point of contact for customers, technicians, subcontractors, suppliers, and office staff throughout each project.
Responsibilities
Project Management
- Manage residential and commercial HVAC installation projects from start to finish.
- Review plans, specifications, and job scopes before scheduling.
- Create project schedules and coordinate labor, equipment, and materials.
- Monitor project budgets and profitability.
- Track project progress and proactively resolve delays or issues.
- Ensure all work meets local building codes and manufacturer specifications.
- Conduct final project walkthroughs and quality inspections.
Operations
- Schedule installation crews and subcontractors.
- Coordinate permit applications and inspections.
- Order equipment and materials while maintaining inventory awareness.
- Verify deliveries and ensure materials arrive on time.
- Manage change orders and communicate pricing adjustments.
Customer Relations
- Serve as the customer’s primary contact during the project.
- Provide regular updates regarding timelines and progress.
- Address customer concerns professionally and promptly.
- Ensure a five-star customer experience from start to finish.
Team Leadership
- Support and guide installation crews.
- Conduct jobsite visits to ensure quality and safety.
- Assist technicians with project planning and problem-solving.
- Promote teamwork and accountability.
Financial Responsibilities
- Review project costs and maintain profit margins.
- Approve vendor invoices.
- Track labor hours and material usage.
- Identify opportunities to improve efficiency and profitability.
Documentation
- Maintain complete project files.
- Upload jobsite photos and documentation.
- Ensure permits, inspection reports, and warranties are completed.
- Close projects promptly after completion.
Qualifications
- 5+ years of HVAC installation or project management experience.
- Strong understanding of residential and commercial HVAC systems.
- Ability to read blueprints and construction plans.
- Knowledge of Florida mechanical codes (or applicable local codes).
- Excellent communication and organizational skills.
- Proficient with Microsoft Office and scheduling software.
- Valid driver’s license with a clean driving record.
Preferred Experience
- Experience with new construction and retrofit projects.
- Familiarity with permitting processes.
- Knowledge of load calculations and duct design.
- Experience using ServiceTitan, Housecall Pro, or similar HVAC software.
Physical Requirements
- Ability to visit construction sites and climb ladders.
- Lift up to 50 pounds when necessary.
- Work indoors and outdoors in varying weather conditions.
