Position Summary
The Executive Assistant / Logistics Coordinator is responsible for overseeing the flow of orders from our international vendors through final delivery to our customers. This role combines logistics coordination, customer service, administrative support, and invoicing. The ideal candidate is highly organized, proactive, and thrives in a fast-paced environment.
Responsibilities
- Enter and process purchase orders with vendors.
- Track orders from production through delivery.
- Coordinate shipments with freight forwarders, customs brokers, trucking companies, and warehouses.
- Monitor delivery schedules and proactively resolve delays.
- Communicate shipment updates with customers and vendors.
- Coordinate deliveries to ensure products arrive on time.
- Prepare and send customer invoices using QuickBooks.
- Maintain accurate records and documentation.
- Answer phones, respond to emails, and provide general administrative support.
- Assist ownership with day-to-day operational and executive support.
- Build strong relationships with customers, vendors, and transportation partners.
Qualifications
- 2+ years of administrative, logistics, operations, or supply chain experience preferred.
- Strong organizational skills and exceptional attention to detail.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize in a fast-paced office environment.
- Positive attitude and willingness to take ownership of responsibilities.
- Strong computer skills, including Microsoft Office (Excel, Outlook, Word).
- QuickBooks experience preferred.
- Professional phone etiquette and customer service skills.
- Reliable, dependable, and self-motivated.
