Position Summary
The Project Coordinator supports all phases of project execution, including design, coordination, installation, and commissioning. This role works closely with leadership to ensure projects are delivered on time, on budget, and to the highest standards.
You will be expected to actively participate in all project communications and take ownership of tasks, escalating to management when needed.
Key Responsibilities
- Participate in all project-related meetings, phone calls, emails, and communications
- Ensure timely responses to all project communications
- Escalate tasks to management if they cannot be completed in a timely manner
- Assist in project coordination from concept through installation and commissioning
- Support preparation of quotations, proposals, and budgets using Quickbooks
- Utilize Vectorworks / CAD for lighting plots, system layouts, and documentation
- Participate in project design meetings and collaborate on improvements
- Identify potential issues and help develop practical solutions
- Assist in planning and managing project schedules and milestones
- Coordinate team members, vendors, and stakeholders to maintain workflow
- Support on-site installation management
- Assist with lighting system programming as needed
- Participate in site installations, setup, testing, and commissioning
- Provide support for lighting design consultation
- Maintain all project documentation and records
- Monitor project expenses and support cost control efforts
- Communicate with clients to help define project requirements, scope, and objectives
Required Skills & Qualifications
- 3–8 years of experience in lighting, AV, production, or related field
- Proficiency in Vectorworks / CAD drafting
- Working knowledge of QuickBooks
- Strong understanding of lighting systems, controls, and production environments
- Ability to manage multiple priorities in a fast-paced environment
- Strong communication and organizational skills
- Comfortable working both in the field and in an office environment
Work Expectations

- Travel required based on project needs
- Flexibility to work evenings or weekends when required
- Outside work permitted only if all Perception responsibilities are prioritized and fulfilled
