Job Summary: Ready to keep things rolling? As our Golf Cart Parts Coordinator, you are the ultimate operational backbone for our customers and service technicians. Your mission is critical: ensure our techs have the exact parts they need, exactly when they need them, minimizing downtime and keeping the shop moving at peak efficiency. You will be the master of our pipeline—following our ordering, receiving, labeling, and organizing processes to a tee. This role blends high-energy customer service with relentless organizational precision. Key Responsibilities:
Customer Service & Sales:
- Greet customers warmly in person and over the phone, providing prompt and courteous service.
- Actively listen to customer needs and assist them in selecting the correct parts and accessories for their golf cart.
- Utilize parts catalogs (physical and electronic), diagrams, and computer systems to accurately identify required parts.
- Suggest related parts, accessories, or upgrades that would enhance the customer's golf cart or solve additional problems ("upselling").
- Process sales transactions accurately, including cash, credit, and financing, and handle returns according to company policy.
- Provide accurate pricing, availability, and estimated delivery times.
Parts Department Operations:
- Process parts orders for the Service Department, ensuring technicians receive the correct parts in a timely manner.
- Receive, unpack, and inspect incoming parts shipments, verifying contents against packing lists and purchase orders.
- Accurately stock parts in designated bins and shelving, ensuring proper organization and easy retrieval.
- Maintain a clean, organized, and safe parts department, including showroom displays and storage areas.
- Conduct regular cycle counts and assist with physical inventories to maintain accurate stock levels.
- Assist in identifying slow-moving or obsolete inventory and suggest strategies for reduction.
- Prepare parts for return to suppliers as needed.
- Address warranty claims
Inventory Management & Data Entry:
- Accurately enter parts information, sales, and inventory adjustments into the dealership management system (DMS).
- Monitor inventory levels and communicate low stock or critical reorder points to the Parts Manager.
- Assist in maintaining vendor relationships and tracking special orders.
Team Collaboration:
- Collaborate effectively with the Service Advisors and Technicians to ensure seamless workflow and customer satisfaction.
- Communicate any parts delays or issues that may impact service timelines.
Knowledge & Learning:
- Continuously learn about new golf cart models, parts, accessories, and industry trends.
- Stay informed about product features, benefits, and applications.
Qualifications:
- High School Diploma or GED equivalent required.
- 1-2 years of experience in a parts department role (automotive, powersports, golf cart, or similar retail environment) preferred.
- Basic mechanical aptitude and a general understanding of golf cart components (e.g., batteries, motors, controllers, suspension, etc.) is highly desirable.
- Strong customer service and interpersonal skills with a friendly and professional demeanor.
- Proficiency with computer systems, including Microsoft Office Suite and experience with inventory management or dealership management software (DMS) is a significant plus.
- Excellent organizational skills and attention to detail.
- Must be able to type/keyboard 40 wpm.
- Ability to lift 50 lbs. regularly and stand for extended periods.
- Ability to work independently and as part of a team in a fast-paced environment.
- Valid Driver's License and clean driving record.
