Duties
- Greet clients and visitors warmly, ensuring a positive first impression of the firm
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently
- Schedule appointments and coordinate calendar management for attorneys and staff
- Handle incoming and outgoing correspondence, including emails and mail processing
- Maintain accurate filing systems, data entry, and document proofreading for legal documents
- Support office management tasks such as inventory control, supply ordering, and record keeping
- Assist with bookkeeping activities using QuickBooks or similar software
- Provide customer support by addressing client questions and resolving issues promptly
- Perform clerical duties including typing reports, organizing files, and managing office supplies
- Ensure adherence to phone etiquette standards and maintain professional communication at all times
Skills
- Proven experience in front desk or reception roles within a legal or professional office setting
- Proficiency with multi-line phone systems and excellent phone etiquette skills
- Bilingual fluency to communicate effectively with diverse clientele
- Strong computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
- Office management experience with organizational skills to prioritize tasks efficiently
- Ability to perform clerical duties such as proofreading, filing, and calendar management accurately
- Knowledge of QuickBooks for bookkeeping and basic accounting tasks
- Excellent time management skills with the ability to multitask in a busy environment
- Personal assistant experience is a plus for supporting attorneys’ administrative needs
- Familiarity with office equipment like printers, scanners, and fax machines
