Responsibilities
- Manage day-to-day bookkeeping tasks using QuickBooks, including data entry, invoicing, expense tracking, and bank reconciliations
- Provide comprehensive administrative support such as filing, proofreading, and maintaining organized records
- Serve as the front desk receptionist, greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Assist with calendar management and scheduling appointments for team members and clients
- Support office management duties including supply inventory, document preparation, and maintaining office equipment
- Deliver exceptional customer service by responding promptly to inquiries via phone or email and supporting client needs
- Perform clerical tasks such as data entry, filing, and document proofreading to ensure accuracy and efficiency
Requirements
- Proven experience in office management or administrative roles with strong clerical skills
- Proficiency in QuickBooks, Microsoft Office (Word, Excel, Outlook), and Google Workspace applications
- Excellent organizational skills with the ability to multitask effectively in a busy environment
- Strong computer literacy and familiarity with data entry, filing systems, and office technology
- Bilingual abilities are highly desirable to assist diverse client needs
- Experience working as a dental or medical receptionist or personal assistant is a plus
- Exceptional phone etiquette and customer support skills with a friendly, professional demeanor
- Ability to manage time efficiently while handling multiple priorities simultaneously
