Front Desk Coordinator
Ophthalmology Practice – Parsippany, New Jersey
We are seeking an experienced, professional Front Desk Coordinator to join our busy ophthalmology practice. The Front Desk Coordinator serves as the communication hub between patients, physicians, and on-site technicians. The Front Desk Coordinator ensures that charts are ready before the physician enters the room, imaging is complete, and patient flow remains efficient.
The ideal candidate is organized, detail-oriented, personable, and able to thrive in a fast-paced medical office while maintaining warmth, professionalism, and efficiency.
Primary ResponsibilitiesPatient Reception
- Welcome patients in a warm, friendly, and professional manner
- Check patients in and out efficiently
- Verify patient identity and demographic information
- Obtain insurance cards and photo identification
- Collect co-pays, deductibles, and outstanding balances
- Provide receipts and explain payment policies
- Maintain patient confidentiality in accordance with HIPAA
Scheduling
- Schedule routine and urgent appointments
- Coordinate physician schedules
- Schedule diagnostic testing
- Schedule surgical consultations and post-operative visits
- Manage cancellations and wait lists
- Optimize physician schedules to minimize gaps and patient wait times
Telephone Management
- Answer incoming calls promptly and courteously
- Route calls appropriately
- Schedule appointments by telephone
- Respond to routine patient inquiries
- Relay clinical messages to technicians or physicians
- Monitor voicemail throughout the day
Insurance and Registration
- Verify insurance eligibility
- Confirm referrals and authorizations
- Update insurance information
- Explain financial policies to patients
- Identify potential insurance issues before appointments
Electronic Medical Records
- Register new patients
- Update demographic information
- Scan insurance cards and identification
- Upload referral documents
- Index outside medical records
- Maintain accurate patient records
Financial Responsibilities
- Collect patient payments
- Balance daily receipts
- Process credit card transactions
- Maintain accurate cash drawer
- Prepare end-of-day reconciliation
Patient Experience
- Keep patients informed regarding delays
- Assist elderly and visually impaired patients
- Resolve routine patient concerns professionally
- Ensure the reception area remains clean, organized, and welcoming
- Offer outstanding customer service to every patient
Administrative Duties
- Process incoming faxes
- Scan documents into the EMR
- Prepare new patient paperwork
- Maintain office supplies
- Coordinate incoming and outgoing mail
- Assist with special projects as assigned
Qualifications
- Front desk experience in a medical office
- Excellent interpersonal and communication skills
- Professional appearance and demeanor
- Comfortable using electronic medical records
- Proficiency with common office technology
Preferred Qualifications
- Experience in an ophthalmology or optometry practice
- Familiarity with ophthalmic terminology
- Experience with insurance verification and prior authorizations
- Knowledge of Medicare and commercial insurance plans
- Experience with ophthalmology practice management software
