Help Wanted: Administrative Assistant
Fast-paced plastic manufacturing company seeking a dependable and organized Administrative Assistant with a primary focus on Human Resources. The successful candidate will support HR functions, including employee paperwork, onboarding, attendance tracking, training records, personnel files, and confidential employee information, while also assisting the Quality, Production, Logistics, Purchasing, and Inventory teams as needed. This is a hands-on position in a busy manufacturing environment where accuracy, confidentiality, communication, organization, and follow-through are essential.
Key Responsibilities
· Provide primary administrative support for Human Resources, including employee paperwork, onboarding files, attendance records, training documentation, personnel files, and other confidential HR records.
· Assist with recruiting support, interview scheduling, new-hire preparation, employee communications, and maintaining organized HR documentation.
· Help track required employee training, safety-related paperwork, policy acknowledgments, and other compliance-related records.
· Provide administrative support to management and department leads as needed.
· Support the Quality department with document control, data entry, inspection paperwork, audit preparation, and organized records.
· Assist Production with schedules, work orders, reports, labels, forms, and communication between the office and shop floor.
· Support Logistics with shipping paperwork, customer forms, delivery coordination, inventory-related documentation, and communication with carriers and vendors.
· Assist with purchasing activities, including preparing purchase orders, tracking order status, communicating with vendors, maintaining purchasing records, and helping ensure materials and supplies are ordered in a timely manner.
· Support inventory control by helping monitor supply levels, update inventory records, assist with cycle counts, reconcile discrepancies, and communicate inventory needs to appropriate team members.
· Answer phones, respond to emails, greet visitors, maintain supplies, file documents, and help keep office operations running smoothly.
· Handle multiple priorities in a fast-paced environment while maintaining accuracy, confidentiality, and professionalism.
Qualifications
· Prior HR administrative experience preferred; manufacturing, production, quality, logistics, purchasing, or inventory experience is a plus.
· Strong understanding of confidentiality and professionalism when handling employee and business information.
· Strong computer skills, including Microsoft Word, Excel, Outlook, and general data entry.
· Experience with purchase orders, vendor communication, inventory records, or basic supply tracking is helpful but not required.
· Excellent organization, attention to detail, and ability to manage changing priorities.
· Professional communication skills and a positive, team-oriented attitude.
· Dependable attendance and willingness to learn the plastic manufacturing process.
· High school diploma or equivalent required; additional administrative, HR, or office training is a plus.
Position Details
This is a full-time, in-person position in a busy plastic manufacturing facility. Compensation is commensurate with experience. The workplace offers a casual and practical environment appropriate for a manufacturing setting, where T-shirts and blue jeans are acceptable attire rather than formal business dress. The ideal candidate will be reliable, detail-oriented, comfortable working around production activity, and capable of supporting multiple departments with professionalism and a service-oriented approach.
