Office Manager/Receptionist – Mental Health Clinic (Part-Time: 20 hours a week)

Schedule: Monday–Friday, 3:00 PM – 7:00 PM
Salary: $17.00-$18.00

As our clinic continues to grow, we’re seeking a part-time Office Manager/Receptionist who shares our commitment to professionalism, efficiency, excellence, and compassionate service.
Essential Duties & Responsibilities
- Lead front office operations including scheduling, client intake, and phone/email communication
- Support administrative staff, ensuring smooth coordination across departments
- Oversee billing processes, insurance verification, and payment collection with accuracy and discretion
- Maintain compliance with HIPAA and other regulatory standards
- Coordinate credentialing, scheduling and onboarding for new hires
- Monitor and improve office workflows, including documentation, EHR usage, and appointment reminders
- Utilize AI at every opportunity, to improve efficiency and automation
- Serve as a liaison between director, reception, clinical staff, clients, and external partners
- Manage inventory, order supplies, and ensure a welcoming office environment
- Count billable hours for payroll
- Assist with audit of files
- Provide Concierge Service to clients and referral resources

Qualifications
- Minimum 3–5 years or more of experience in office management, in a healthcare or behavioral health setting. At least 3 years must be in a single position. Please do not count 3 jobs at 3 different places for one year each as 3 years.
- Strong proficiency with EHR systems, scheduling software, and Microsoft Office Suite
- Familiarity with insurance processes and credentialing preferred
- Strong experience supervising staff and managing administrative workflows
- Bachelor’s degree in Business Administration, Healthcare Management, or related field preferred (or equivalent experience)
