Project Coordinator — Biologics Development
Location: New Brunswick, NJ (Hybrid — 50% on-site required)

ABOUT THE ROLE
We're looking for an experienced Project Coordinator to provide administrative and project support to three senior leaders in a global biologics development organization: the Executive Director of Global Upstream and Cell Line Development, the Executive Director of Analytical Development and Attribute Sciences, and the Senior Director of Potency and Impurities Analytical Development.
This is a high-visibility position supporting a multi-site organization of roughly 160 staff responsible for the development of biologics products. You'll handle complex, often time-sensitive work involving senior-level contacts and confidential information, and you'll need the professionalism, discretion, and judgment that go with it.

WHAT YOU'LL DO
- Provide day-to-day executive support to three senior leaders across multiple sites
- Manage complex calendars, schedule meetings and conferences, and coordinate domestic and international travel
- File and manage expense reports and maintain accurate departmental records
- Onboard and offboard employees and contractors
- Build and manage the year-long departmental calendar, including site and vacation schedules for the leadership team
- Plan and run high-level department meetings, town halls, and social events — owning both content and logistics
- Maintain and keep current the organization's SharePoint site (multiple pages — this is a significant part of the role)
- Capture and manage meeting minutes in OneNote and distribute surveys using MS Forms or comparable tools
- Draft and distribute department-wide communications and assemble town hall slide decks
- Partner with the Biologics Development Operations function on organizational administration and operations
- Coordinate with other operational and administrative staff across the organization, including back-up coverage for planned and unplanned absences
- Look ahead at schedules, events, and team needs to anticipate conflicts and resolve them with minimal direction
- Prioritize and act based on an understanding of departmental objectives and business needs
WHAT YOU'LL BRING
- Associate's degree; relevant experience may be substituted for education
- At least 4 years of administrative or comparable experience
- High proficiency with the MS Office Suite: Outlook, PowerPoint, Word, Excel, OneNote, Forms, and MS Teams
- Strong working knowledge of SharePoint, including page maintenance and site upkeep
- Proficiency with enterprise business systems — or the ability to learn them quickly. Examples include Concur (Travel/T&E), SAP, Workday, eSetup, conference room scheduling tools, and MS Teams
- Excellent written and verbal communication skills, including professional business writing
- Strong organizational skills, close attention to detail, and dependable follow-through
- Proven problem-solving and analytical ability, with the judgment to work independently
Preferred
- Bachelor's degree, ideally in a business-related field
- Prior experience as an Executive Associate or Project Coordinator
- Experience supporting senior executives in a matrixed, multi-site, or international environment
