Location: Simi Valley, CA (Tues-Friday) and Thousand Oaks, CA (Mondays)
Required Work Shift
- Full time hours: Mondays to Fridays: 8:30 AM to 5:30PM
- Saturdays and Sundays OFF.
About the Position
We are seeking a dependable, compassionate, and detail-oriented Medical Assistant to join our established cardiology practice in Simi Valley. This role combines back-office clinical support with administrative responsibilities essential to an efficient and patient-centered practice.
The ideal candidate is comfortable in a fast-paced specialty office, communicates professionally with patients and team members, and can manage clinical and administrative tasks with accuracy and follow-through.
Responsibilities
Clinical/Back-Office Duties
- Room patients and obtain/document vital signs, medication lists, allergies, and reason for visit.
- Prepare patients for provider evaluations, examinations, and procedures.
- Perform EKGs and assist with other cardiology-related testing and procedures, as trained.
- Assist with medication refill requests, patient messages, and follow-up communications under provider direction.
- Maintain accurate and timely documentation in the electronic health record.
- Prepare, clean, stock, and organize exam rooms, supplies, and equipment.
- Follow infection-control, safety, HIPAA, and office protocols.
- Assist with referrals, orders, and coordination of diagnostic testing as needed.
Administrative Duties
- Scan, upload, index, and route incoming medical records, test results, referrals, insurance documents, and correspondence within the electronic health record.
- Maintain accurate electronic and paper filing systems; organize patient charts and ensure records are complete and readily accessible.
- Initiate, submit, track, and follow up on prior authorization requests for prescribed medications under provider direction.
- Communicate with pharmacies, insurance plans, patients, and team members regarding medication authorization status, denials, approvals, and required documentation.
- Assist with medication refill workflows and ensure requests are routed appropriately and documented accurately.
- Monitor incoming faxes and correspondence; route time-sensitive items to the appropriate team member.
- Support record requests, document retrieval, and other general administrative workflows.
- Provide backup support for phones, patient check-in/check-out, scheduling, and other office needs as needed.
Qualifications
- High school diploma or equivalent required.
- Medical Assistant certification or EMT certification preferred.
- Current BLS/CPR certification preferred.
- Prior medical office experience required; cardiology or specialty-practice experience preferred.
- Experience obtaining vital signs, performing EKGs, and using an electronic health record preferred.
- Prior experience with medication prior authorizations, pharmacy communication, scanning, and medical-record management preferred.
- Strong communication, organization, multitasking, and customer-service skills.
- Reliable, professional, compassionate, and able to work effectively both independently and as part of a team.
