We’re currently seeking a reliable, detail-oriented Operations Assistant to support our founder with behind-the-scenes operations and day-to-day business needs. If you’re organized, adaptable, and love being the person others count on, this could be the perfect role for you.
About the Role
As an Operations Assistant, you’ll be a key player in keeping things running smoothly. No two days will be the same—but every task you tackle will make a meaningful difference. From managing leads and scheduling to keeping systems tight and supporting client experiences, you’ll help us deliver exceptional service with ease and polish.
Key Responsibilities
Top-Level Priorities
● Manage virtual client requests via platforms like Airtable; handle vendor communications and research tasks.
● Track, follow up, and manage new leads; update CRM and support scheduling.
● Maintain internal systems and improve infrastructure processes.
● Support social media coordination and engagement; compile analytics reports.
● Manage calendars and inboxes with a proactive, professional touch.
● Assist with onboarding for clients and new team members.
Mid-Level Priorities
● Handle general administrative duties (filing, scanning, answering calls).
● Assist with QuickBooks (invoicing, expense tagging, receipt entry, basic reports).
● Run weekly payroll reports.
● Update and maintain the company website (Weebly).
● Generate financial, operational, and marketing reports.
Low-Level Priorities
● Research and track grant opportunities; assist with proposal writing.
● Support SAM.gov registration and federal project tracking.
● Help build out passive income initiatives (apps, mentorship programs, resource library).
● Coordinate PR efforts and speaking engagement logistics.
What We’re Looking For
● A trustworthy, polished professional who takes initiative and gets things done.
● Calm under pressure, adaptable to change, and quick to problem-solve.
● Excellent time-management, communication, and organizational skills.
● Exceptional attention to detail and an eye for thoughtful, finishing touches.
● Tech-savvy and familiar with tools like Google Workspace, task-tracking apps, and shared calendars.
● Service-minded, warm, and committed to creating ease for others.
Requirements
● Valid driver’s license and access to reliable transportation.
● Ability to lift up to 20 lbs as needed.
● Experience in executive or personal assisting, hospitality, concierge, or similar service-based roles is a plus.
● Must pass a background check.
Compensation
Training: $15-20/hr
After 90 day evaluation period: $20-25/hr
