Office Manager / Executive Assistant Employer: Exodus Consulting Group (on behalf of a mission-driven nonprofit organization) Location: Detroit, Michigan, Hybrid Type: Non-Exempt, Part-Time
Note: This is a part time position 20 to 24 hours per week.
About the Role
Exodus Consulting Group is supporting a mission-driven nonprofit organization in the search for an Office Manager / Executive Assistant to support executive leadership in Metro Detroit. This role blends high-level executive support, office operations management, and light financial administration. The ideal candidate is proactive, highly organized, and comfortable operating in a fast-paced nonprofit environment where discretion, judgment, and follow-through are essential.
This is not a transactional administrative role. Success requires the ability to anticipate leadership needs, manage confidential information with care, coordinate board-level engagement, and ensure smooth daily office operations.
Work Model
Hybrid expectation: Two days per week onsite in Detroit, supporting in-person meetings, office coordination, and leadership engagement Flexible remote work aligned with the President & CEO’s schedule for calendar management, documentation preparation, reporting support, and administrative coordination. Occasional early morning, evening, or board meeting hours may be required Part-time structure of 20 to 24 hours per week
Must Haves
- To thrive in this role, candidates must have:
- 5 plus years of professional experience in executive support, office management, or senior-level administrative roles
- Experience directly supporting a President & CEO, Executive Director, or C-suite leader
- Demonstrated experience coordinating board meetings, preparing agendas, and documenting minutes
- Strong organizational skills with the ability to manage multiple priorities independently
- High level of discretion and experience handling confidential financial and leadership documentation
- Proficiency with Microsoft Office Suite and Google Workspace
- Strong written and verbal communication skills
- Ability to manage vendor relationships, office operations, and administrative systems
Nice to Haves (Preferred skills)
- Experience in nonprofit, foundation, education, financial services, or mission-driven organizations
- Exposure to light financial administration, including invoicing, expense reconciliation, reimbursements, or subscription tracking
- Experience with grant portals, CRM systems, or funder reporting platforms
- Comfort troubleshooting basic technology issues and coordinating with IT vendors
- Experience supporting special projects or strategic initiatives led by executive leadership
- Bachelor’s degree in Business, Communications, Finance, or related field preferred
What You Will Do (Essential Job Functions)
- Manage complex calendar systems and meeting scheduling for the President & CEO
- Coordinate correspondence, emails, and leadership communications
- Maintain organized and secure filing systems for confidential leadership documentation
- Provide administrative support for board meetings, donor meetings, and strategic initiatives
- Prepare agendas, meeting materials, and draft committee and board minutes
- Provide ad hoc administrative support to the CFO as needed
- Financial and Documentation Support
- Process invoices, credit card purchases, reimbursements, and subscription renewals for leadership
- Support documentation preparation related to reporting, grants, or financial administration
- Maintain accurate records of leadership expenses and related documentation
- Office Facilities and Technology
- Manage office supply inventory and vendor relationships
- Serve as liaison with property management for the Detroit office
- Coordinate software access, system credentials, and IT support for leadership
- Maintain office equipment and coordinate servicing when needed
- Scheduling, Travel, and Event Coordination
- Coordinate travel arrangements, including flights, hotels, and ground transportation
- Prepare travel documentation and track related expenses
- Provide logistical support for board meetings, stakeholder meetings, and leadership events
- Represent the organization professionally in interactions with board members, donors, partners, and community stakeholders
- Special Projects and Organizational Support
- Prepare reports, presentations, and materials as requested by executive leadership
- Coordinate special projects led by the President & CEO
- Maintain donor contact information and assist with acknowledgments and follow-up coordination
- Contribute to maintaining a professional, mission-aligned office culture
Compensation
- Hourly range: $26 to $36 per hour, commensurate with experience
- Part-time schedule of 20 to 24 hours per week
- Flexibility: Exceptional candidates with extensive executive-level support experience or nonprofit board coordination exposure may be considered at the top of the range
