Position Summary
Whole Health Orthopedic Institute is seeking a highly organized, patient-focused professional to serve as our THE Orthopedic Journey (TOJ) Coordinator. This role is responsible for managing the entire patient experience from enrollment through recovery for patients participating in THE Orthopedic Journey program.
The TOJ Coordinator serves as the primary point of contact for enrolled patients, ensuring a seamless, high-touch experience throughout their surgical and recovery journey. This individual will coordinate program logistics, manage patient communications, assist with enrollment and onboarding, track membership payments, facilitate technology setup, and ensure patients receive all necessary equipment, education, coaching support, and resources to maximize their outcomes.
A major part of this role is providing ongoing health coaching support to help patients stay engaged, accountable, and confident throughout their journey. The ideal candidate is someone who not only believes in whole-person health, wellness, movement, recovery, and lifestyle optimization, but also personally “walks the walk” and can authentically encourage patients to take an active role in their recovery and long-term health.
Key Responsibilities
- Serve as the primary contact for TOJ patients from enrollment through recovery.
- Guide patients through enrollment, agreement signing, and onboarding.
- Track membership payments and maintain accurate program records.
- Coordinate distribution of surgical recovery bundles and equipment.
- Educate patients on equipment use, recovery resources, and program expectations.
- Provide health coaching support to encourage patient engagement, accountability, and adherence to recovery goals.
- Help patients understand the importance of nutrition, movement, sleep, hydration, mindset, and lifestyle habits as part of their overall recovery experience.
- Assist patients with TOJ app enrollment, setup, and activation.
- Assist with device setup and basic troubleshooting.
- Maintain consistent communication with patients and families throughout the program.
- Coordinate with providers, clinical staff, wellness staff, and leadership to ensure a seamless experience.
- Monitor program milestones, patient engagement, and completion of key recovery steps.
- Identify patients who may need additional support, encouragement, or follow-up.
- Maintain accurate tracking and reporting related to TOJ participation.
- Identify opportunities to improve the patient experience, health coaching support, and overall program efficiency.
- Represent the Whole Health philosophy by modeling professionalism, positivity, accountability, and a wellness-focused mindset.
Qualifications
- Associate degree or higher in Healthcare Administration, Business Administration, Healthcare Management, Health Coaching, Exercise Science, Wellness, or a related field; equivalent experience may be considered.
- Minimum of 2 years of healthcare, patient coordination, customer service, wellness, health coaching, fitness, or administrative experience.
- Strong organizational, communication, and project management skills.
- Ability to manage multiple priorities while maintaining attention to detail.
- Strong computer and technology skills.
- Comfortable educating, encouraging, and coaching patients in a supportive and professional manner.
- Ability to travel between Meadville and Erie office locations.
- Orthopedic, surgical, patient navigator, care coordination, health coaching, wellness, fitness, or lifestyle medicine experience preferred.
