Athletic Director Job Responsibilities and Expectations
SPECIFIC DUTIES AND RESPONSIBILITIES
· Thorough knowledge of all the Athletic Policies approved by Bradford Prep School
· Manage all paperwork and communications with officials via state mandated systems (currently Dragonfly) to ensure all paperwork is in place for athletes
· Responsible for adding fees and tracking of payments in Dragonfly for all athletes
· Responsible for distributing and checking back in all uniforms for teams and rotating the purchase of new uniforms as needed. Works within budget to purchase equipment and uniforms in a timely manner to ensure teams and coaches have necessary uniforms and supplies prior to the start of the season.
· Knowledge of existing school system, state, and conference regulations; implements them consistently and interprets them for staff.
· Recruiting and hiring of all coaches for middle school and high school teams
· Mentoring coaches and training coaches to coach and train their students in accordance with Bradford Prep’s values
· Establish the fundamental philosophy, skills, and techniques to be taught by coaches.
· Communicate rules and expectations to coaches, athletes and parents regarding practice and game protocols on a regular basis.
· Hold regular meetings to share expectations for each team and season
· Plan and hold end of season “banquets” to recognize athletes and coaches for accomplishments during the season
· Works with student athletes interested in playing in college by providing opportunities for students to learn the process and connect with college coaches.
· Hold coaches accountable for all expectations – inventory management of uniforms, student expectations, parent expectations, practice and game protocols and parent /athlete communication
· Ensure coaches are completing all required NCHSAA trainings and that certificates show up properly in state systems
· Plan senior nights – communicate with families and teams at beginning of season, setting expectations and timeline
· Work directly with Athletic Boosters/Athletic Club to raise funding and allocate funds as needed to teams
· Book officials for all games/contests and pay in a timely manner
· Post all athletic contests and dates on school calendar prior to the start of season – maintain as needed.
· Confirm weekly athletic events prior to the start of each week to ensure times and locations are accurately represented
· Represent Bradford Prep Athletics at the Middle and High school conference meetings
· Responsible for stocking and staffing concessions stands
· Responsible for working with Finance dept to book hotels, etc for teams heading to regionals or states as needed.
· Work with the Director of Operations to book the bus or fields outside of typical practice times.
· Understand the proper administrative line of command and refer all requests of grievances through proper channels.
· Ensure athletic staff are aware of all staff/departmental meetings that require attendance.
· Maintain discipline, adjust grievances, and work to increase morale and cooperation.
· Manage the scheduling, providing transportation, and requirements for tournament and special sport events – state/regional play off games
· Assist in the necessary preparation to hold scheduled sport events or practices and adhere to scheduled facility times.
· Ensure there is appropriate volunteers available to work all games for concessions and ticket sales.
· Book students to sing the national anthem, and a person if not the athletic director to call the starting line up and the game
· Book police officers to be at football and basketball games as required by NCHSAA
· Coordinate off season work outs and communication to parents and athletes with coaches
· Create facilities plan for managing facilities and who is practicing / playing where
· Coordinate program with maintenance and school employees.
· Provide documentation to fulfill NCHSAA requirements concerning physical examinations, parental consent, and eligibility.
· Provide proper safeguards for maintenance and protection of assigned equipment sites.
· Provide training rules and any other unique regulations of the sport to each athlete who is considered a participant.
· Give constant attention to a student athlete’s grades and conduct.
· Works with other athletic staff to provide presence at all practices and games.
· Initiate programs and policies concerning injuries, medical attention, and emergencies.
· Complete and submit proper paperwork on all athletic injuries school nurse within 24 hours.
· Direct student managers, assistants, and statisticians in their role on the team
· Pull eligibility for athletes prior to tryouts to ensure only eligible students are at tryouts.
· Determine discipline, delineate procedures concerning due process when the enforcement of discipline is necessary and contact parents when a student is dropped or becomes ineligible.
· Assist athletes in their college or advanced educational selection.
· Participate in the budgeting function with the Athletic Dept and Internal Finance Committee.
· Recommend guidelines as to type, style, color, or technical specifications of equipment.
· Responsible for operating within budget appropriations.
· Accountable for all equipment and/or collection of fees for any lost or unreturned equipment.
· Arrange for issuing, storing, and reconditioning of equipment and submit annual inventory and current records. Properly mark and identify all equipment before issuing or storing.
· Monitor equipment rooms and coaches’ offices, authorize who may enter, issue or requisition equipment. Permit the athletes to only be in authorized areas of the building at the appropriate times.
· Examine locker rooms before and after practices and games, checking on general cleanliness of the facility. Work directly with PE staff to manage clean up of facilities.
· Be responsible for cleanliness and maintenance of specific sport equipment.
· Secure all doors, lights, windows, and locks before leaving building.
· Instill in each player a respect for equipment and school property, its care and proper use.
· Organize parents, coaches, players, and guests for pre-season meetings.
· Promote the sport within the school through recruiting athletes who are not in another sports program.
· Promote the sport outside the school through news media, community recreation programs, or in any other feasible manner.
· Work with marketing/communications to send information to local media
· Responsible for maintaining social media sites for Athletics to share upcoming athletic events and results
· Responsible for maintaining good public relations with news media, Booster Club, parents, officials, volunteers, and fans.
