We are urgently looking for a candidate to come on board as a member of our dynamic front office duo. Who are we??? We are Czarniecki and Company, a small but mighty, local Certified Public Accounting Firm managing all aspects of tax efforts, strategy and planning for hundreds of clients ranging from individuals, those running small businesses and pop-ups to large business beasts. We prepare and complete over 2,000 tax returns annually in addition to providing monthly business services (payroll, bookkeeping, etc) to hundreds of our clients.
Wondering how this role contributes to our team and how this position fills the day? Under the supervision of our Office Manager and Operations Manager, this position's primary function will be to help foster and maintain a pleasant, welcoming and helpful office environment for clients and staff. The Front Office Receptionist duties and responsibilities will include answering a heavy volume of daily calls and triaging the caller’s needs or problem, scheduling meetings, appointments and managing multiple calendars, welcoming and greeting clients in person, and providing general administrative support to our employees. Tax season duties will include but not be limited to: checking in clients and appropriate documents, guiding clients through signing tax returns, tax return assembly, and maintain accurate tracking logs. We require this position to possess high levels of organizational effectiveness, proficiencies in time management and stellar communication skills. Previous experience as a receptionist or office administrator will be an advantage, as will experience with a variety of office software (email tools, spreadsheets and databases). Ultimately, the Front Office Receptionist should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operation alongside our Office Manager.
Responsibilities
- Managing and answering multiple phone lines.
- Triaging client needs to the appropriate staff member.
- Calendar management: scheduling meetings and appointments on behalf of several employees.
- Completing daily meeting/appointment reminder calls.
- Overseeing digital file management and organization.
- Maintain office decorum keeping office and supplies organized, stocked, and neat looking.
- Provide support to the Office Manager and complete any necessary ad hoc duties.
- Assist in planning in-house or off-site activities, like parties, celebrations, and conferences.
- Required overtime February through April and some Saturdays.
Skills
- Proven experience as an office receptionist or administrative assistant.
- Knowledge of office administrator responsibilities, systems and procedures.
- Proficiency in Microsoft Office and Google Suite software programs.
- Hands on experience with office machines (e.g. fax machines and printers).
- Familiarity with calendar scheduling tools, like Outlook, Zoom and Google Meet.
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills in a fast-paced environment.
- A creative mind with an ability to suggest improvements.
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus

Pay: $23.00 - $25.00 per hour
