Position Summary:
Jax Spine & Pain Centers is seeking a compassionate, organized, and customer-focused New Patient Coordinator to join our growing team. As the first point of contact for prospective patients, you will play a critical role in creating a positive patient experience by guiding individuals through the intake and scheduling process. The ideal candidate is an excellent communicator with strong organizational skills who thrives in a fast-paced healthcare environment.
Key Responsibilities:

Serve as the primary point of contact for all new patient inquiries via phone, email, and electronic referrals.

Schedule new patient appointments while ensuring provider availability and appropriate appointment types.

Obtain and accurately enter patient demographic, insurance, and referral information into the electronic medical record (EMR).

Verify insurance eligibility and determine referral and authorization requirements.

Explain practice policies, appointment expectations, and required documentation to patients.

Coordinate receipt of medical records, imaging, and referral documentation prior to appointments.

Collaborate with providers, clinical staff, and referral sources to facilitate timely patient scheduling.

Maintain accurate patient records and ensure compliance with HIPAA and privacy regulations.

Respond promptly to patient questions and resolve scheduling concerns with professionalism and empathy.

Monitor referral work queues and follow up on pending referrals to ensure timely patient access.

Assist with additional administrative duties as assigned.
Qualifications:

High school diploma or equivalent.

Minimum of one (1) year of medical scheduling, patient access, call center, or healthcare administrative experience preferred.

Experience with electronic medical records (eClinicalWorks experience preferred).

Knowledge of medical terminology, insurance verification, referrals, and prior authorizations preferred.

Strong customer service and interpersonal communication skills.

Excellent organizational skills with strong attention to detail.

Ability to prioritize multiple tasks while maintaining accuracy in a fast-paced environment.

Proficiency in Microsoft Office and general computer applications.
