General Functions: To execute clerical duties in assigned program(s).
Specific Functions:
Serve as integral member of the Cornerstone behavioral health department, providing support to staff, guests, and persons served.
Maintain a comprehensive understanding of all behavioral health programs and associated staff roles so as to appropriately answer questions and refer guests to other department(s) and agency staff/programs, as applicable.
Answer the phone in a friendly, courteous manner, take phone messages accurately, route crisis calls appropriately, and generally know the whereabouts of staff in assigned building.
Manage the front desk and lobby area, ensuring trauma-informed and confidential practices, including, but not limited to:
*minimizing environmental stressors (e.g. keeping noise levels low to prevent overstimulation/anxiety, maintaining a clean and organized space to promote feelings of stability and safety, and asking others in the area to respect these expectations and do the same);
*fostering emotional safety (e.g. respect boundaries and privacy and be clear and consistent when explaining expectations/procedures); and
*adhering to confidentiality laws (e.g. refraining for the use of last names or speaking of medical information where guests can overhear; not sharing details about persons served with anyone other than the treatment team and only in a private space).
Ensure all guests are greeted timely and assisted in a friendly, courteous manner. Use positive and welcoming language on signage and interact with others in a warm and empathic manner. Timely notify staff that individuals are waiting for their scheduled appointments.
Appropriately attend to conflict in the lobby, seeking support as needed. Adhere to department and building-specific protocols for handling emergencies and routing crisis calls.
Update electronic health records of persons served when information is provided by staff or individuals, including, but not limited to, insurance, contacts, HMIS paperwork, opening paperwork, and medications.
Complete office tasks, including, but not limited to, updating staff and day program sign-in sheets, updating vehicle cleaning schedules, mailing certified letters and drug screens, accepting medication deliveries, organizing staff mailboxes, and taking pictures of persons served for their records.
Complete assigned data entry and reports in an accurate and timely manner (i.e. Population).
Maintain appointment schedules for psychiatrists, advanced nurse practitioners, nurses, and outpatient staff; confirm appointments.
Follow protocols for closing out records of persons served upon discharge, including processing any paper records.
Update listing of behavioral health department staff phone numbers on a routine basis; maintain record of phone number and office number assignments.
Work collaboratively with other office staff to ensure a smooth working environment as well as completion of all tasks.
Transport interoffice mail daily to the administrative office and other agency locations, as assigned.
Scan assigned documents into the agency's Electronic Health Record (EHR) in accordance with established timeframes.
Follow all agency and department policies/protocols for building safety and security and direct other building staff and visitors to do the same when needed. Escalate any known building/safety issues to supervisor in a timely manner.
Ensure the building copy/mail rooms are organized, supplies are stocked, and all shared IT equipment is accounted for daily.
- Maintain ongoing compliance with all agency-related training and certification requirements.
- Respond per established procedures to all emergency situations including medical, behavioral, fire, severe weather, and other hazards.
- Operate agency or personal vehicle in accordance with established policies and procedures.
- Own, maintain, and use personal smartphone for company business in accordance with established policies and procedures.
- Other duties as assigned.
Qualifications: Qualifications: High school diploma or equivalent required along with excellent communication and interpersonal skills. Experience with insurance requirements in the behavioral health setting preferred. Typing experience, 45 w.p.m. with appropriate experience and demonstrated ability. Knowledge of Microsoft Word and Excel required. Driving record and auto insurance coverage in accordance with agency policy. A post-offer physical and criminal background check required. Reliable transportation required. EOE.
