Position Summary
The Office Clerk provides administrative and operational support for a manufacturing facility by coordinating office activities, maintaining production and shipping records, assisting with truck scale operations, and supporting communication between plant personnel, customers, vendors, and corporate offices. This role requires strong organizational skills, attention to detail, and the ability to effectively manage multiple priorities in a fast-paced manufacturing environment.
Essential Responsibilities
- Answer incoming telephone calls professionally and direct calls or take accurate messages.
- Greet visitors and notify appropriate plant personnel of their arrival.
- Maintain accurate daily and weekly production, shipping, and operational records.
- Enter and maintain records including:
- Packing lists and invoices
- Inbound material receipts
- Outbound customer shipments
- Production data
- Quality sampling information
- Product sample requests
- Verify data accuracy and follow established documentation procedures.
- Initial and date completed documentation to ensure accountability and audit compliance.
- Prepare and maintain audit reports and supporting documentation.
- Operate the truck scale and accurately process inbound and outbound truck traffic.
- Record truck weights and maintain required transportation documentation.
- Communicate material arrival and destination information to plant personnel.
- Prepare and distribute shipping documentation, including laboratory reports when required.
- Collect required paperwork from drivers based on customer and billing requirements.
- Process customer orders and prepare order release documentation.
- Coordinate transportation and schedule outbound shipments.
- Distribute and file shipping documentation.
- Assist with ordering office and plant supplies.
- Coordinate service requests and communicate with vendors regarding maintenance and repairs.
- Maintain organized filing systems for administrative and operational records.
- Provide general administrative support to plant management and corporate personnel.
- Perform other administrative duties as assigned.
Minimum Qualifications
- High school diploma or equivalent required.
- Associate degree in Business Administration or a related field preferred.
- One to three years of administrative, office support, customer service, or manufacturing office experience preferred.
- Equivalent combinations of education and experience may be considered.

Preferred Qualifications
- Previous experience in a manufacturing or industrial environment.
- Experience with shipping, receiving, logistics, or truck scale operations.
- Familiarity with ERP, inventory management, or production tracking systems.
Work Environment
Professional office environment located within a manufacturing facility. Regular interaction with production personnel, truck drivers, vendors, and customers. Standard Monday through Friday schedule with occasional overtime as business needs require. This position requires frequent interaction with plant operations and may involve periods of standing, walking through production areas, and exposure to typical manufacturing environments.
Pay: $25.00 - $30.00 per hour
