Overview
We are seeking a bilingual, highly organized, proactive, and detail-oriented Executive Office Manager to oversee daily administrative operations and support executive leadership. This role is essential to maintaining efficient office workflows, managing payroll, assisting with accounts payable and accounts receivable processes, and ensuring smooth day-to-day business operations. Salary is $50,000 to $75,000 DOE.
Key Responsibilities
- Oversee daily office operations to ensure efficiency, organization, and productivity.
- Manage and process employee payroll accurately and on schedule.
- Assist with AR/AP functions, including customer invoicing, payment tracking, collections follow-up, and account reconciliation.
- Maintain office records, files, and documentation (digital and physical).
- Coordinate office supplies, vendor relationships, and service contracts.
- Support executives with scheduling, correspondence, reporting, and administrative tasks.
- Ensure compliance with company policies, payroll requirements, and applicable regulations.
- Assist with onboarding new employees and maintaining HR documentation.
- Organize meetings, prepare reports, and manage internal communications.
- Reconcile payroll, accounts payable, and accounts receivable records as needed.
- Identify and implement process improvements to enhance office productivity and financial accuracy.
Qualifications
- Proven experience as an Office Manager, Executive Assistant, Bookkeeper, or similar administrative role.
- Experience processing payroll (ADP, QuickBooks Payroll, or similar systems).
- Experience with accounts payable, accounts receivable, and general bookkeeping functions.
- Bilingual in English and Spanish.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and office management/accounting software.
- Ability to handle confidential information with discretion.
- Strong attention to detail and accuracy, particularly with payroll and financial data.
- Ability to work independently, prioritize tasks, and meet deadlines.

Pay: $50,000.00 - $75,000.00 per year
