Studio Administrative & Operations Coordinator (Part-Time)
Location: Hybrid / Potential On-Site Presence
Hours: 9–15 hours per week (≈12 hours typical)
About the Role
We are seeking a highly organized, proactive, and personable Administrative & Operations Coordinator to support the day-to-day and seasonal operations of a growing dance studio.
This role is ideal for someone who enjoys turning ideas into action, thrives on organization, and takes pride in creating smooth systems and positive client experiences. You’ll work closely with studio leadership to keep communications clear, calendars aligned, and operations running seamlessly.
Key Responsibilities
Communications & Customer Experience
- Respond to parent and client emails (policies, scheduling, billing, programming)
- Send registration instructions and follow up with trial families
- Track performance participation and opt-outs
- Maintain a warm, professional, and consistent communication tone
Weekly Operations
- Coordinate and send weekly studio communications
- Schedule and help facilitate admin meetings
- Process new registrations and set up accounts
- Maintain shared notes and internal documentation
- Update website content as needed
- Send internal marketing emails for events
Billing & Administrative Support (Monthly)
- Set up and prorate client accounts
- Post tuition and fees in the studio system
- Process monthly billing
- Track and follow up on outstanding balances
Organization & Systems
- Maintain rosters, spreadsheets, and digital filing systems
- Manage studio calendars (internal and external)
- Coordinate rehearsal and event schedules
- Assist with seasonal setup (new schedules, policies, registrations)
- Identify and implement process improvements
Staff & Vendor Coordination
- Support instructor onboarding and reminders
- Liaise with vendors (ticketing, media, events)
- Troubleshoot platform or communication issues
