Specific Operation Duties:
- Front Desk / Reception Duties (e.g., receive/disburse mail, answer phones, check voicemails, check emails, etc.)
- Responsible to audit all calls and emails and direct them to the appropriate personnel, as necessary.
- Assist with Bi-Monthly Newsletter
- Assist with posting agendas, minutes and newsletters on the website
- Responsible for preliminary review of homeowner architectural application and plans to ensure ALL fields on the application is completed & signed, and all required supporting document is attached with the application (e.g., current picutres of home, design plot plan/floor plan/elevation plan, samples, materials, etc.) and entering the applications on the system.
- Assist and Enforce HOA CC&R and Policy Guidelines.
- Assist with taking Escrow photos, Hearing Case pictures, and identifying violations.
- Coordination and/or assistance with annual community events.
- Comply with federal, state, and local legal agencies requirements by studying the requirements; enforcing adherence to requirements; filing reports; advising management on needed actions.
- Assist with additional tasks as directed by supervisor or upper management.
Specific CC&R Enforcement Duties:
- Review Compliance View 360 (CV360) system videos and process violation notices timely.
- CV360 - Identify each video/picture as it relates to the specific violation.
- Respond to calls and emails within 24 hours regarding the CC&R Violation complaints.
- Process and coordinate with Operations and Compliance Manager on all violations.
- Keep track and update the current open cases and follow up.
- Identify any cases that can be referred to the County for NPO violations.
- Assist with appointments for homeowner hearings.
- Assist with preparation of Board packets for homeowners' hearings.
- Assist with follow up on all Hearings with Statement of Decision.
- Responsible for familiarity with County Ordinances as they relate to CC&R enforcement and Board Policy.
General Duties:
- Answer/respond to all incoming telephone calls, emails, and check general voicemail within 24 hours.
- Assist with homeowner inquiries.
- Receive & Disburse Mail and drop off at the Post Office.
- General office work such as filing, faxing, copying.
- Assist staff and Board in "special projects" as deemed by the Administrator or Operations Manager.
- Contribute to team effort by accomplishing related results as needed.
Skills/Qualifications:
- 1 year experience in a similar position and familiarity with Homes Associations (HOA).
- Excellent written and verbal communication skills.
- Excellent customer service and problem-solving skills.
- Ability to develop standards and analyze information.
- Excellent research skills and reporting results.
- Able to work in a fast past environment.
- Performs effectively despite sudden changes and priorities.
- Confidentiality conscious and thoroughness regarding sensitive homeowner information.
- Microsoft Office Proficiency (including Word, Excel, Access)
Pay: $25.00 - $27.00 per hour
Experience:
- Property management: 2 years (Preferred)
- FDA regulations: 2 years (Preferred)
Ability to Relocate:
- San Lorenzo, CA 94580: Relocate before starting work (Required)
