At Fast Fins, we're passionate about helping swimmers of all ages build confidence, develop skills, and fall in love with the water. Our programs span from beginner lessons for the tiniest splashers to rigorous competitive team training for those chasing podiums. The glue that holds it all together? A strong, organized admin team — and that's where you come in.
ABOUT THE ROLE
This is a part-time, in-person position based at our facility, working weekdays from 2–6pm and Saturdays from 8:30am–12pm. It's a great fit for someone who wants meaningful, focused work without a full-time commitment and enjoys being on-site where the action happens.
WHAT YOU'LL DO
Program Scheduling
Coordinate swim school schedules, team practices, and event calendars. You're the person who keeps everyone in the right lane at the right time.
Customer Support
Be the friendly, knowledgeable first point of contact for parents, swimmers, and staff at the front desk and beyond. Handle scheduling questions, program details, and general inquiries with warmth and speed.
Registrations & Payments
Own the full registration lifecycle — sign-ups, billing, attendance tracking, and refunds. Accuracy matters here, and you'll bring it.
Communications
Keep swimmers, parents, and staff in the loop with timely updates via email, text, app notifications, and newsletters. Clear messaging builds trust — you'll make sure ours does.
Record Management
Maintain accurate swimmer profiles, attendance records, and performance data. When someone needs a number or a history, you'll have it ready.
Event Support
Help organize meets, staff events, and swim team competitions on-site. From logistics to last-minute coordination, you keep the chaos in check.
WHAT WE'RE LOOKING FOR
- 1+ year of admin or customer service experience — ideally in a sports, recreation, or education setting (but we're open to the right person)
- Outstanding organizational skills with sharp attention to detail and the ability to juggle multiple priorities
- Tech-savvy and comfortable with office tools — MS Office, Google Workspace, and scheduling or registration software. Experience with iClassPro or GoMotion is a strong plus. Ability to use Claude AI to perform tasks and maximize efficiency.
- Excellent communicator — clear, warm, and professional whether you're writing a newsletter, greeting a parent at the desk, or responding to an email
- Self-directed and reliable — you can manage your responsibilities and stay accountable during your shifts
- Bonus: a background in swimming, aquatics, or youth sports
