Job Summary
We are seeking an energetic and dedicated Customer Service Representative to join our dynamic team in providing the best-in-performance specialty chemicals to a diverse customer base! Responsibilities:
- Manage multi-line phone systems efficiently, directing calls accurately and courteously
- Handle data entry tasks using computer skills, including updating customer records and processing transactions
- Maintain organized filing systems and manage documentation with attention to detail and proofreading accuracy
- Provide excellent customer support by addressing questions, resolving issues promptly, and ensuring customer satisfaction
- Assist with clerical duties including filing, copying, scanning, and managing correspondence in Microsoft Office applications
- Process customer orders into Sales Orders (SO’s) in the ERP system
- Send approved sales orders to the appropriate warehouses for shipping
- Produce commercial invoices for international orders and shipments
- Prepare customer quotes
- Maintain customer orders (back orders, future orders, direct shipments, & waiting for products)
- Maintain customer folders
- International Orders - Book shipments with broker & produce all needed documents
- Send requested literature from customers & staff (SDS’s, TDS’s, etc...)
- Double check other sales orders, quotes, labels, & packages for errors
- Obtain quotes from LTL truck carriers for shipments
- Book LTL truck shipments
- Backup for purchasing
- Maintain replacement parts packaging & parts inventory for controller equipment
- New customer setup in ERP
- Submit government-required forms on a monthly basis
- Process month-end service billings
- Provide conflict mineral reports as requested by customers
- Provide monthly shipment reports for selected personnel
- Maintain literature for trade shows
- Prepare for new year, create new sales folders & store prior year
- Pull old sales folders from storage and shred
Skills
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience with ERP (Datacore) is a plus
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Previous office experience or clerical experience required; familiarity with office management is a plus
- Exceptional customer service skills coupled with professional phone etiquette on multi-line phone systems
- Bilingual abilities are desirable to serve diverse customer needs effectively

Pay: $57,000.00 - $72,000.00 per year
