Position Summary
We are seeking a dependable and organized Bookkeeper / Administrative Assistant to support the company’s accounting, payroll, and general office operations.
The position is responsible for maintaining accurate financial records, processing payroll, performing administrative duties, and supporting day-to-day business operations. The ideal candidate is detail-oriented, capable of managing multiple priorities, comfortable working independently, and effective in a collaborative office environment.
Bookkeeping & Payroll Responsibilities
· Record and categorize bank and credit card transactions.
· Review employee timecards and process payroll accurately and on schedule using QuickBooks Online Payroll.
· Maintain payroll records, including direct deposit information, payroll changes, and employee deductions.
· Verify employee hours, paid time off, holiday pay, and other payroll adjustments.
· Prepare and issue customer invoices.
· Monitor accounts receivable and follow up on outstanding balances.
· Process vendor invoices, maintain accounts payable records, and prepare payments.
· Maintain organized financial records with complete supporting documentation and a clear audit trail for company expenses.
· Prepare weekly and monthly financial reports for management.
· Assist with budgeting, expense tracking, and cash-flow reporting.
· Assist with business license renewals and other regulatory filings.
· Assist with month-end and year-end closing procedures.
Office Administration Responsibilities
· Answer and direct incoming telephone calls.
· Prepare ad hoc reports as requested.
· Maintain office policies, procedures, filing systems, and company records.
· Manage office supply inventory, purchasing, and vendor relationships.
· Maintain current client, vendor, and employee contact information.
· Assist with proposal preparation, contract administration, and document management.
· Support company leadership with administrative projects and other duties as assigned.
· Coordinate employee benefits documentation and communicate with benefit providers as necessary.
· Arrange for the maintenance and servicing of office equipment.
Required Qualifications:
- High school diploma or equivalent.
- At least (2) years of bookkeeping experience using QuickBooks Online
- 1–2 years of payroll and office administration experience.
- Proficiency with Microsoft Office, including Excel, Word, Outlook, and PowerPoint.
- Strong organizational skills with exceptional attention to detail.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to prioritize assignments, meet deadlines, and work independently.
- A high degree of professionalism, integrity, and discretion when handling confidential information.
Preferred Qualifications
- Experience with Customer Relationship Management (CRM) software.
- QuickBooks ProAdvisor certification.
- Associate degree in Accounting, Business Administration, or a related field.
- Experience working in a professional services, engineering, architectural, or construction environment.
Schedule:
- Monday – Thursday, 9-hour shifts. Friday, 4 hr shift
- The job is to be performed on-site
Pay: $25.00 - $35.00 per hour
