Duties
- Greet patients and visitors warmly, ensuring a positive first impression
- Schedule appointments accurately using electronic health record (EHR) systems such as NextGen, Epic, Meditech, Athenahealth, or eClinicalWorks
- Performs day-to-day administrative functions and general office duties, including but not limited to word processing, copying, filing, faxing, answering phones, and data entry.
- Verify insurance coverage and perform insurance verification procedures
- Manage patient check-in and check-out processes efficiently
- Handle multi-line phone systems with professional phone etiquette, directing calls appropriately
- Conducts check-out process. (Schedule next appointment, order imaging studies and other consults as prescribed.)
- Send OP notes and consult notes to the primary care physician and/or referring physician.
- Maintain and update medical records, ensuring compliance with HIPAA regulations and proper documentation review; take a picture of the patient and place in the patient’s folder.
- Assist with medical billing and collection processes, including CPT coding, ICD-10/ICD-9/ICD coding, and Medicare claims processing
- Support clinic operations through filing, data entry, and managing office supplies
- Collaborate with medical staff to coordinate care plans and document patient interactions accurately
- Use computer skills to navigate EMR systems like Doctible, eCare, Epic, Meditech, Athenahealth, documentation and scheduling
- Assists providers and other staff members with other duties to contribute to a team atmosphere. Provides training/cross training of office personnel to provide coverage during absences.
Skills
- Strong knowledge of medical terminology, ICD coding (ICD-10/ICD-9), CPT coding, and medical billing procedures
- Experience with EMR/EHR systems such as NextGen, Epic, Meditech, Athenahealth, eClinicalWorks
- Excellent customer service skills with the ability to handle sensitive information discreetly in accordance with HIPAA standards
- Bilingual abilities are required to serve diverse patient populations effectively
- Proven clinic or medical office experience with front desk management and appointment scheduling
- Familiarity with insurance verification processes and Medicare requirements
- Proficiency in Microsoft Office Suite (Word, Excel) and typing skills, including 10-key typing for data entry tasks
- Strong organizational skills for managing medical records, filing systems, and documentation review processes
- Ability to work efficiently in a fast-paced environment while maintaining attention to detail
- Exceptional phone etiquette and communication skills for engaging with patients and healthcare providers
