Duties
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Handle comprehensive office management tasks such as filing, data entry, calendar management, and organization of documents using productivity software like Microsoft Office and Google Workspace
- Support bookkeeping activities using QuickBooks and assist with basic financial recordkeeping and invoicing
- Provide excellent customer service by responding promptly to inquiries, supporting client needs, and maintaining positive communication channels
- Proofread correspondence, reports, and documents to ensure accuracy and professionalism
- Maintain organized filing systems—both digital and physical—and ensure all records are up-to-date and easily accessible
- Support personal assistant responsibilities such as managing schedules, coordinating meetings, and handling confidential information efficiently.
- Proven administrative experience in an office environment or related field
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills
- Experience working with bookkeeping software like QuickBooks is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Booking and organizing work events and travel.
- Demonstrated customer service skills with a friendly demeanor and professional phone etiquette
- Bilingual abilities are a plus for supporting diverse client needs
- Clerical experience including filing, proofreading, calendar management, and handling multi-line phone systems is preferred
