We are seeking a highly organized, proactive, and customer-focused Office Operations Coordinator to oversee daily office operations and ensure the smooth functioning of our flight school. The ideal candidate will possess excellent organizational and communication skills, strong clerical abilities, and the ability to prioritize tasks in a fast-paced environment. This role is essential in supporting management, coordinating daily operations, enhancing customer experience, and maintaining an efficient and productive workplace.
ResponsibilitiesFront Desk & Customer Service
- Greet guests and answer phone calls with professionalism and warmth.
- Respond to inquiries and promote company services to convert leads into customers.
- Assist new students and walk-in visitors with orientation and enrollment.
- Ensure every visitor has a welcoming and positive experience.
Student Support & Orientation
- Onboard new students and maintain accurate student records.
- Track registrations, training progress, and scheduling.
- Coordinate communication between students and instructors.
Scheduling & Operations
- Manage instructor, staff, aircraft, and classroom schedules.
- Coordinate events, facility tours, and company activities.
- Support daily operational needs to ensure efficient workflow.
Office Administration
- Maintain organized files and compliance documentation.
- Keep office and classroom areas clean, organized, and fully stocked.
- Order office supplies and manage inventory levels.
Client & Vendor Management
- Handle client registrations and customer communications.
- Coordinate with vendors, process purchases, and maintain vendor relationships.
Finance & Reporting
- Assist with invoices, payments, and account balance tracking.
- Route calls and emails to the appropriate team members.
- Prepare reports and assist with administrative recordkeeping.
Management Support
- Provide administrative support to management and leadership.
- Prioritize daily tasks and adapt quickly to changing business needs.
- Assist with special projects and follow up to ensure timely completion.
- Help improve office processes and identify opportunities for greater efficiency.
- Support management with planning, coordination, and execution of operational priorities.
QualificationsExperience
- Previous experience in office operations, office administration, or a similar role is preferred.
- Strong organizational and time-management skills with the ability to prioritize multiple tasks effectively.
- Excellent customer service, phone etiquette, and communication skills.
- Proficiency with Microsoft Office, Google Workspace, and general office software.
- Experience with scheduling, event coordination, or project management is highly desirable.
- Ability to work independently while collaborating effectively with a team.
- Detail-oriented, dependable, and able to maintain confidentiality.
