Full-time | Monday–Friday | 8:00 AM–5:00 PM
Key Responsibilities:
Executive & Managerial Support
- Partner with the GVH 3PL President, Business Development Manager, and select branch leaders to handle a wide range of administrative tasks.
- Prepare detailed reports, comparisons, and documentation for leadership review.
- Provide remote administrative and operational support to the GVH Diversified teams nation wide ensuring timely communication and coordination across teams.
Customer Support & Communication
- Answer calls and emails related to billing, scheduling, product inquiries, and general service needs—ensuring timely same-day responses.
- Troubleshoot order or service concerns by researching issues, identifying solutions, and confirming resolution with the customer.
- Enter, audit, and update customer sales orders within the ERP system, ensuring accuracy in pricing and product details.
- Provide customers and internal teams with updates on ship dates, tracking information, and any order variances.
Operational Assistance
- Maintain up-to-date knowledge of product lines, policies, and incoming receiving schedules.
- Process payments, verify order accuracy, and forward required materials to accounting.
- Support warehouse operations as needed and proactively step in to resolve challenges.
Collections Coordination
- Work with the accounting team to follow up on overdue invoices and assist with collection processes.
General Office Duties
- Handle various office tasks, including filing, organizing, errands, and supply management.
- Maintain office equipment and support senior leadership with day-to-day needs.
Requirements
- Minimum age: 18
- Strong administrative background with proven customer service experience
- Excellent written and verbal communication abilities for interacting with customers, vendors, and team members
- Proficiency in Microsoft Office (Word, Excel, Outlook, Teams) and strong general tech skills
- Skilled at multitasking, prioritizing, and making sound decisions in a fast-paced environment
- High attention to detail with a proactive, service-focused mindset
- Ability to collaborate effectively at all levels within the organization and build strong working relationships
Preferred Qualifications
- Bachelor’s degree or comparable experience in logistics, sales, or similar fields
- Experience with ERP systems, CRM tools, or general office management software
- Bilingual (English/Spanish) is helpful but not required
- Knowledge of supply chain, logistics, or 3PL operations
- Exposure to industrial, oil, or gas sectors is a bonus
