Responsibilities
- Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
- Handle calendar management, scheduling appointments, meetings, and coordinating events with precision and attention to detail
- Make outbound calls to current and prospective clients
- Maintain accurate records through data entry, filing, and updating spreadsheets using productivity software such as Microsoft Office.
- Provide exceptional customer service by assisting clients, answering inquiries, and supporting overall office needs with positive phone etiquette and client communication skills
- Perform clerical tasks including proofreading documents, word processing, and managing correspondence efficiently
- Oversee office management duties such as supply inventory, equipment maintenance, and organizing files to ensure a productive work environment
Requirements
- Current Property & Casualty Insurance License and/or Life & Health Insurance License or ability to obtain license within an agreed upon time frame.
- Proven office experience with strong organizational skills and the ability to multitask in a fast-paced environment
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), spreadsheets, and data entry tools
- Excellent computer literacy with technical proficiency in office management software
- Strong communication skills, both verbal and written; bilingual abilities are a plus for diverse client interactions (Spanish)
- Demonstrated experience in customer service roles such as front desk or medical/dental receptionist positions
- Ability to manage time effectively while handling multiple responsibilities simultaneously
- Previous administrative or clerical experience including filing, proofreading, calendar management, and phone communication etiquette
- Personal assistant experience or medical/dental receptionist background is advantageous but not required
