POSITION SUMMARY:
This FULL-TIME position starting pay is $17.00 per hour and is located in Olyphant, PA. The Administrative Assistant is responsible for providing clerical and administrative support for Social Security Disability and Medical Assistance case processing. This includes handling incoming documentation, maintaining case files, supporting Case Developers and Disability Case Reviewers, and ensuring accurate and timely data entry and communication.
This position is 100% on-site in Olyphant, PA (no remote or hybrid option available). The schedule is Monday through Friday, 8:30 AM – 4:30 PM.
ESSENTIAL DUTIES AND RESPONSIBILITIES:

- Open, sort, and distribute incoming mail to appropriate departments
- Enter new Medicaid applications into the system with accuracy and timeliness
- Assign computer-generated file numbers to applicants
- Print file labels and authorizations; distribute applications to Case Developers
- Generate provider letters as instructed
- Type reports, correspondence, and invoices
- Fax record requests, generate confirmations, and prepare applicant files
- Log cases received from consultants; pull files and distribute to Disability Case Reviewers
- Log outgoing cases to consultants; generate disability certifications and prepare files for review
- Process closed cases, including copying letters and mailing originals to applicants
- Scan documentation for electronic distribution to Case Developers
- Maintain and organize filing systems for active and closed cases
- Answer telephones and assist with file retrieval and general inquiries
- Prepare outgoing mail in accordance with instructions
- Collaborate with internal staff to ensure efficient workflow and case processing
- Demonstrate professionalism, attention to detail, and strong organizational skills
- Perform additional duties as assigned by Case Developers, Office Manager, or Project Director
REQUIRED SKILLS/ABILITIES:
- Strong clerical, typing, filing, and administrative support skills
- Proficiency in Microsoft Word and Excel (required)
- Ability to operate standard office equipment (computer, telephone, fax machine, scanner)
- Strong communication and interpersonal skills
- Ability to multitask and work efficiently in a fast-paced environment
- High level of accuracy and attention to detail
- Ability to follow structured processes and maintain confidentiality
EDUCATION/EXPERIENCE REQUIREMENTS:
- High School Diploma or equivalent (REQUIRED)
- Prior administrative or clerical experience preferred
- Experience with medical terminology, typing medical reports, and/or knowledge of Social Security rules and regulations preferred
PHYSICAL REQUIREMENTS:
- Ability to stand and move throughout the office as needed (or with reasonable accommodation)
- Primarily sedentary work requiring occasional stooping, bending, reaching, and stretching
- Ability to operate office equipment including telephone, computer, and fax machine
- Visual and hearing ability (with or without assistive devices) to perform job duties
