You protect a three-agent real estate sales team's time so they can be fully present with people: you are the warm, capable voice our clients reach, the keeper of the paperwork and the schedule, and the person who makes the whole office run so nothing, ever, falls through the cracks.
Who we are
OnSite Real Estate Group is a residential real estate team serving Lake Tapps, Bonney Lake, and the greater Pierce County and South Sound market, affiliated with Timber Real Estate. We are relationship-first and unapologetically systems-driven: we use AI and modern operations tooling to deliver better marketing, faster responses, and sharper insights than a traditional agent can. We also co-founded Tapps Business Connect, a high-accountability local referral network that meets at our office. You would sit at the center of all of it.
What you will own
- Client communication, first and foremost: answering calls from current clients and making proactive calls to them, so every client feels taken care of the moment they reach us, agents can't be on two calls at once, and we value our clients needs.
- The team's time: managing three agents' schedules and protecting their selling hours from everything that does not need them.
- Paperwork and follow-through, end to end: transaction documents updated, compliance uploads on time, follow-ups closed, client gifts ordered and sent, open loops hunted down and finished.
- Vendor communication: photographers, inspectors, lenders, title, contractors; you are the hub between them and our clients.
- The office itself: supplies, systems, and the day-to-day details that keep everything running, including event logistics for Tapps Business Connect meetings hosted here.
- System improvement: our CRM (OnSite CRM), workflows, and checklists. You run our systems faithfully and make them better where it buys the team more presence with clients.
What a normal week looks like
Most of your day lives on the phone and in the details. A client calls anxious about their inspection timeline and hangs up feeling taken care. You call three clients with updates before they have to wonder. Between calls you update transaction paperwork, chase a signature, coordinate a photographer and a title company, reorder office supplies, and get a closing gift ordered and on its way. You reshuffle an agent's afternoon so they stay face-to-face with people instead of buried in logistics. And when you spot a step our system handles badly, you fix the checklist so next month runs smoother. The plan changes hourly some days. That is the job, not a failure of the job. Your recieve a ton of accolades and are pay bumps.
Who thrives in this seat
- You anticipate. You make the call before the client wonders, fill gaps before being asked, and spot obstacles before they land. Waiting for direction makes you itchy.
- You finish. Open loops bother you physically. Done means done, including the boring last ten percent.
- You hold the line kindly. You can chase a busy agent for a signature three times, tell a vendor no, and enforce a checklist on people senior to you without drama and without caving.
- You are the calm one. Call-heavy days and hourly plan changes do not rattle you; you are the anchor, not another source of static.
- You are a vault. Commission data, client information, and the owners' calendars stay confidential, full stop.
- You are relationship-focused enough that people feel good about calling you, and detail-focused enough to tell them the truth. Warm on the phone, honest about the numbers, never one at the expense of the other.
- Details matter.
This is probably not your job if
- You want to be the one selling. This seat exists so the salespeople can sell.
- You love starting projects more than finishing them.
- You need every day to look different and every process to be yours to redesign.
- Keeping the peace matters more to you than keeping the standard. Making people feel good can never come at the cost of the details or the truth.
Requirements
- Comfortable adopting AI tools as part of daily work.
- In-office at our Lake Tapps office (3920 W Tapps Dr E, Lake Tapps, WA 98391).
- Real estate experience is a plus, not a requirement. We hire the operating traits and teach the industry.

Compensation and terms
$42,000-$65,000 per year depending on experience, full-time W-2, overtime-eligible. Office hours run Monday through Saturday (closed Sunday); your schedule is built within them.
