Job Title: Property Management Bookkeeper / AccountantJob Summary
We are seeking a detail-oriented, highly organized Property Management Bookkeeper to oversee the financial operations of our growing property management portfolio. In this role, you will be responsible for the full-cycle accounting of our managed units, ensuring accurate financial reporting for property owners, timely vendor payments, and strict adherence to state trust accounting regulations.
Because our operations run entirely on AppFolio, extensive prior experience with this platform is highly preferred.
Key ResponsibilitiesAccounts Receivable & Tenant Accounts
- Rent Collection: Oversee the processing of monthly rent payments, security deposits, and application fees via the AppFolio online tenant portal, check scanning, and electronic transfers.
- Delinquency Management: Monitor tenant ledgers, apply late fees, issue non-payment notices, and collaborate with the leasing team on collections or eviction filings.
- Move-Out Accounting: Process security deposit dispositions (SNDs) within state-mandated timelines, calculating tenant charges and issuing refunds.
Accounts Payable & Vendor Management
- Invoice Processing: Review, code, and enter vendor invoices into AppFolio, ensuring proper authorization and alignment with property budgets.
- Bill Payments: Execute weekly vendor payment runs via ACH or check, ensuring timely disbursement.
- Owner Distributions: Calculate and process monthly owner draws, ensuring all property reserves are maintained and owner statements are generated accurately.
- Tax Compliance: Maintain vendor W-9 forms and lead the year-end 1099-NEC/1099-MISC filing process within AppFolio.
Banking, Reconciliation & Trust Accounting
- Daily Reconciliations: Perform daily bank reconciliations for operating, security deposit, and escrow/trust accounts.
- Trust Accounting Compliance: Maintain a strict separation of funds, ensuring all accounting practices comply with Colorado Real Estate Commission (CREC) trust account guidelines and auditing standards.
- Month-End & Year-End Close: Complete the monthly three-way reconciliation (bank balance to book balance to tenant/owner liabilities) and close the monthly ledger.
Qualifications & Skills
- Experience: Minimum of 2–3 years of full-cycle bookkeeping or accounting experience, specifically within the residential property management industry.
- Software Expertise: Strong proficiency in AppFolio Property Manager is highly preferred. Experience with Excel and standard office tech is required.
- Core Knowledge: Deep understanding of property management accounting, including tenant ledgers, owner statements, property reserves, and trust accounting principles.
- Attention to Detail: Exceptional accuracy in data entry and a knack for spotting discrepancies in complex, multi-unit ledgers.
- Communication: Strong professional communication skills to clearly explain financial statements or ledger issues to property owners, vendors, and internal team members.
