Position Title: Accounting Assistant
Department: Business Office
Reports To: Director of Finance & Business Service
Qualifications & Other Requirements:
Associates degree in Accounting minimum, Bachelor’s degree in Accounting or Finance preferred
Minimum of 2 years of successful professional experience in a related role
Public school, university, or municipality experience helpful, but not required
Extensive experience using Microsoft Excel software, creating spreadsheets, data import and export, vendor software applications, and other technology to support efficient and effective operation and to create, balance, analyze, and verify data and information
Evidence of ongoing, voluntary, and self-motivated pursuit of knowledge for either personal or professional reasons
Ability to perform duties with awareness of all state, federal and district requirements including Board of Education policies
Exhibits the highest level of professional ethics, work ethic, and integrity; ability to handle and maintain sensitive and confidential information
Organized, confident, self-starter, self-sufficient, efficient and accurate; able to multi-task with time sensitive constraints, ability to prioritize work in order to meet deadlines
Strong analytical, research and mathematical aptitude; excellent at detail work
Overall Duties & Responsibilities:
Payroll and attendance processing including related state and federal tax returns and forms, payroll balance sheet reconciliation and tie-out, retirement reconciliation and reporting, quarterly 941 reports, MESC, annual W-2 and ACA reporting.
Prepare daily and month-end nutrition services accounting entries, including daily activity, deposits, reconciliations, and related recordkeeping.
Preparation, recording, reporting account tracking of transactions and follow up for student activity accounts.
Accounts receivable, including invoices, receipts, deposits, account tracking, and follow-up.
Accounts payable, including preparation and processing, maintaining vendor files as well as year-end 1099 processing.
General ledger activities, including account maintenance, journal entries, reconciliations, and month-end/year-end procedures.
Assist with bank and account reconciliations and investigating discrepancies as needed
Assist with the collection, safekeeping and distribution of all funds.
Assist with cash transfers and banking services.
Assist with preparation of appropriate financial related information requested for collective bargaining.
Prepare and maintain accurate financial records, reports, and documentation.
Assist with the reconciliation and preparation of all district financial records for year-end review by auditors.
Assist the Director of Finance & Business Services with special projects and other fiscal responsibilities as assigned.
Participate in meetings, workshops and seminars for the purpose of conveying and/or gathering information required to perform business office functions; attend monthly county-wide payroll labs and monthly Monroe/Lenawee Michigan School Business Officials meetings when topics are applicable.
Provide courteous and professional assistance to staff, families, vendors, and community members regarding routine financial questions.
Maintaining confidentiality of payroll, student, employee, and financial information
Follow district policies, accounting procedures, and applicable public-sector requirements.
The employee shall remain free of any alcohol or non-prescribed controlled substance in the workplace throughout his/her employment in the District.
Other Skills:
: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from managers, staff, students, parents, and the general public.
: Ability to work with mathematical concepts such as probability and statistical inference, and apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
: Proficiency with Microsoft computer applications and 10-key calculator required. Ability to apply knowledge of current research and theory in specific field. Ability to establish and maintain effective working relationships with students, staff and the school community. Ability to speak clearly and concisely both in oral and written communication. Ability to perform duties with awareness of all district requirements and Board of Education policies.

Terms of Employment: 52 weeks, 260 days/ Administrative / Board of Education Contract Ninety (90) day probationary period
