Here is a structured, clean job description tailored for a private practice. It highlights a hybrid or dual-role structure, making it clear that while you are looking for someone to anchor the front desk, they will also actively support the optical floor.
# Job Title: Front Desk Receptionist & Optical Assistant
### Role Overview
We are looking for a welcoming, organized, and detail-oriented team member to manage our front desk and support our optical floor. In a private practice, our team wears a few hats to keep the day running smoothly. Your primary home will be the reception area—greeting patients, managing schedules, and handling insurance—but you will also learn to assist patients with styling, adjustments, and frame selections.
**Position Type:** Full-Time / Part-Time
**Experience:** Experience in medical/optical front desk or retail optical is preferred, but we are willing to train the right person.
**Licensure:** *ABO certification or optician licensing is not required.*
## Key Responsibilities
### 1. Reception & Front Desk (Primary Focus)
* **Patient Welcome:** Greet patients warmly as they arrive, manage the check-in/check-out process, and handle patient paperwork.
* **Scheduling & Phones:** Answer incoming calls, schedule eye exams, manage the appointment book, and make confirmation calls.
* **Insurance Verification:** Pull and verify vision and medical insurance benefits (VSP, EyeMed, etc.) prior to patient appointments.
* **Billing & Copays:** Collect copays, deductibles, and balances, and accurately enter transactions into the EHR (Electronic Health Record) system.
* **Administrative Upkeep:** Maintain clean digital records, scan documents, and respond to practice emails.
### 2. Optical Assistant & Dispensing (Secondary Focus)
* **Frame Styling & Selection:** Assist patients in finding the perfect frames based on their style, face shape, and lifestyle needs.
* **Patient Education:** Clearly explain lens options, upgrades (anti-reflective coatings, photochromic/transitions lenses, blue light filters), and out-of-pocket costs.
* **Dispensing & Adjustments:** Hand off completed eyewear to patients, ensuring a comfortable fit via basic frame alignments and adjustments (adjusting nose pads, temple bends, etc.).
* **Frame Styling Maintenance:** Keep the optical floor tidy, ensure frames are clean and properly displayed, and help check in incoming frame orders.
* **Pre-Testing Support (Optional/As Needed):** Learn to operate basic pre-testing equipment (auto-refractor, tonometer, or lensometer) to help move patients efficiently into the exam room.
## What We Are Looking For
* **The Right Attitude:** Outstanding communication skills, a high level of empathy, and a polished, professional demeanor.
* **Detail-Oriented:** Ability to accurately input data, cross-reference insurance details, and track patient orders without cutting corners.
* **Multitasker:** Comfortable switching gears between a ringing phone, an arriving patient, and a frame adjustment.
* **Tech Savvy:** Familiarity with basic office software and a willingness to learn our specific optical practice management software.
