We are seeking an experienced Office Manager to oversee the daily operations of our Scottsdale clinic and lead a high-performing team dedicated to delivering exceptional patient experiences.
Position Overview
The Office Manager serves as the operational leader of the clinic and is responsible for overseeing front and back-office operations, staff performance, patient experience, and compliance with company policies and procedures.
This role works a Monday-Friday schedule consisting of five 8-hour shifts. While the clinic is open from 8:00 AM to 6:00 PM, the Office Manager schedule may vary to support clinic operations and team needs.
Key Responsibilities
Clinic Operations
- Oversee daily front and back-office operations
- Ensure adherence to company SOPs and workflow efficiency
- Monitor patient flow, scheduling, and documentation accuracy
- Maintain compliance with company policies and operational standards
Staff Leadership
- Hire, train, and supervise clinic staff
- Manage employee schedules, PTO requests, and performance reviews
- Foster a positive, accountable, and team-oriented culture
- Partner with Human Resources on employee relations matters
Patient Experience
- Manage escalated patient concerns and ensure timely resolution
- Support a high standard of customer service and patient satisfaction
- Maintain documentation of patient issues and follow-up actions
Reporting & Inventory
- Track clinic performance metrics and key operational KPIs
- Manage inventory, ordering, and supply levels
- Maintain compliance logs and operational reporting requirements
Required Qualifications
- Experience in healthcare operations or clinic management required
- Strong leadership, communication, and organizational skills
- Experience with EMR systems, scheduling platforms, and reporting tools
- Ability to manage multiple priorities in a fast-paced environment
- Proven ability to lead teams and drive operational excellence
