Responsibilities
- Greet visitors warmly and professionally, ensuring a positive first impression.
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently.
- Maintain appointment calendars, schedule meetings, and coordinate calendar management for staff.
- Handle data entry, filing, and document proofreading to ensure accuracy and organization.
- Support office management tasks such as supply inventory, mail distribution, and record keeping.
- Utilize computer skills including Microsoft Office, Google Workspace, and QuickBooks for various administrative functions.
- Provide customer support by addressing inquiries promptly and professionally via phone or email.
- Assist with clerical duties such as typing correspondence, maintaining files, and managing office documentation.
- Uphold excellent phone etiquette and professional communication standards at all times.
Qualifications
- Proven office experience with strong organizational skills and attention to detail.
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools.
- Experience with multi-line phone systems and excellent phone etiquette.
- Bilingual abilities are highly preferred to serve diverse client needs effectively.
- Strong clerical skills including filing, proofreading, and document management.
- Knowledge of office management procedures and administrative best practices.
- Previous experience as a receptionist or in customer service roles such as medical or dental receptionist is advantageous.
- Ability to manage time efficiently while handling multiple tasks simultaneously.
