Job Summary
We are seeking a detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing comprehensive administrative support, ensuring smooth office operations, and enhancing customer satisfaction. This role requires strong organizational skills, excellent communication abilities, and proficiency in various office software and systems.
Duties
- Manage front desk operations, greeting visitors and handling inquiries with professionalism.
- Operate multi-line phone systems to manage incoming calls efficiently.
- Perform data entry tasks with accuracy and attention to detail into software.
- Maintain filing systems and ensure proper organization of documents on software and physical file cabinets.
- Prepare documents, print Documents, Scan Documents.
- Assist with calendar management, scheduling appointments, and coordinating meetings.
- Provide customer support through effective communication and problem-solving skills.
- Follow up with new and existing clients on the phone and in email.
- Conduct proofreading of documents to ensure clarity and correctness if necessary.
- Support office management by maintaining supplies and office equipment.
Qualifications
- Experience in an administrative role or similar position is preferred but not required.
- Proficiency in Microsoft Office Suite.
- Ability to learn new software.
- Excellent organizational skills with a keen eye for precision, filing online and in person.
- Complete tasks efficiently and on time.
