The Center for Election Innovation & Research (“CEIR”) is a 501(c)(3) nonprofit, whose core mission is to work with election officials and build confidence in elections that voters should trust and do trust. CEIR has a proven record of working in a nonpartisan manner with election officials from around the country and from both sides of the aisle.
CEIR’s current goals are restoring public confidence in our election system, supporting and defending election officials, and ensuring election integrity and security. Election officials are increasingly the targets of threats and harassment aimed at making them feel unsafe and undercutting their ability to do their jobs. CEIR’s Election Official Legal Defense Network (“EOLDN”) supports election officials in need by connecting them with pro bono legal services and other resources as permitted by law.
Position Overview:
The Associate Operations Director reports directly to the Operations Director and oversees CEIR’s day-to-day operations, ensuring that human resources, financial, administrative, compliance, and operational systems run efficiently and effectively. The Associate Director supervises operations staff, supports staff development and accountability, coordinates closely with internal teams and external partners, and helps translate operational strategy into clear processes, timelines, and deliverables.
This is a permanent, full-time position based at CEIR’s office in Downtown Washington, DC.
Key Responsibilities:
- Develop and maintain standard operating procedures and other informational materials
- Supervise operations staff, including assigning work, setting priorities, supporting professional development, and promoting accountability
- Work closely with the Operations Director to implement internal policy, operational strategy, and organizational priorities
- Oversee day-to-day operational workflows, identify opportunities for improvement, and ensure timely follow-through across administrative, financial, IT, HR, and other functions
- Serve as a liaison between staff and CEIR’s external benefits and payroll manager to ensure employees receive and understand their benefits, pay, etc.
- Provide and oversee appropriate training/onboarding of staff
- Help improve staff experience
- Oversee employee timekeeping
- Manage the hiring process
- Prepare and file offer letters and employee notifications
- Manage employee files including application materials, performance reviews, and employee notifications
- Maintain close oversight of incoming and outgoing invoices, ensuring bills are paid and payments received in a timely fashion
- Track contracts, with special attention to term expiration dates and deliverables
- Review staff expense reports
- Oversee and support reconciling accounts and preparing books for monthly and year-end close
- In partnership with external accounting firm, generate monthly financial reports, including cash flow projections
- Support the preparation and review of annual audit and tax filings (990s, 1099s, etc.)
- Report on grant financials, tracking spending by project area as needed
- Ensure compliance with contract technical requirements
- Maintain business insurance and business licenses; monitor other compliance matters
- Procure and maintain office equipment/supplies
- Help manage existing IT services
- Coordinate with the property management team for our building
- Track lobbying time
Qualifications
- 5+ years of operations experience including 3+ years of leadership experience, preferably in a small nonprofit, business, or other similar organization
- Excellent attention to detail
- Adaptable self-starter who is solutions-oriented and systems-minded
- Demonstrated management skills and supervisory experience, including:
- overseeing the operational activities of a small team and supervising staff; and
- managing operational systems, finances, and administrative processes for a small business or nonprofit organization
- Proficiency in Microsoft Office suite and QuickBooks, and familiarity with payroll systems
- Exceptional analytical and communication skills with the ability to synthesize complex information quickly and explain concepts clearly and concisely
- Bachelor’s degree in a relevant field or equivalent professional experience
- Experience in any or all of the following areas is preferred: IT support, accounting, event management, system design, and project management
Benefits
- Salary Range: $95,000-140,000
