`Nature of Work
The Receptionist manages the Front Desk and Reception Area of the Main Office by greeting and directing all visitors and guests, handling incoming calls as well as incoming and outgoing mail, and ensuring maintenance of the proper physical condition of the area. The Receptionist monitors office supply stock and participates in the coordination of office equipment maintenance and repairs. The Receptionist also assists the Finance Department and contributes to management projects as needed.
Responsibilities
· Greet visitors and guests and direct to appropriate staff
· Answer and screen all incoming calls, and route to staff accordingly
· Process and distribute incoming and outgoing mail and faxes
· Schedule messengers and carrier services for document and/or item delivery
· Maintain inventory of supplies
· Process, copy, type, and file documents as required
· Assist in scheduling of interviews with applicants as needed
· Manage the payment of office expenses, including petty cash and credit cards, including payment of office expenses, and tracking of such payments.
· Perform credit and background checks on applicants for employment and housing
· Scan and batch invoices, bank statements, and other documents, and complete other tasks as requested by Finance Department
· Maintain office equipment (postage machine, copier, printers), including scheduling repairs and monitoring supplies
· Maintain and provide organizational and other basic information as requested
· Assist with projects and provide organizational support as needed
Requirements and Qualifications
· At least 3 years of experience in reception work, administrative assistance, or clerical work
· Heavy administrative experience with exceptional attention to detail
· Excellent organizational skills and ability to work independently
· Technology literacy including MS Office, with strong Word and Excel Proficiency
· Strong written and verbal communication skills
· Experience working with diverse populations
· Ability to speak basic Spanish
